Job Summary
The Branch Operations Coordinator is a critical team member responsible for supporting day-to‑day branch operations, warehouse organization, and order fulfillment. This role ensures efficient handling of incoming orders, accurate inventory management, and clear communication across project management, field operations, and leadership teams. The coordinator also maintains a safe, secure, and organized facility while supporting client, fleet, and visitor needs at the branch office.
Key Responsibilities Order Fulfillment & Logistics- Receive, process, and fulfill incoming orders accurately and efficiently
- Pick, pack, and stage materials for projects and service teams
- Coordinate shipments and deliveries with internal teams and vendors
- Track order status and proactively communicate updates to stakeholders
- Maintain a clean, organized, and secure warehouse environment
- Implement and uphold inventory control best practices
- Conduct regular cycle counts and inventory audits
- Ensure proper storage, labeling, and handling of materials and equipment
- Monitor inventory levels for service parts, materials, and office supplies
- Replenish stock by placing orders through approved procurement channels
- Maintain accurate inventory records and usage tracking
- Identify opportunities to improve inventory efficiency and reduce waste
- Receive, sort, and distribute incoming mail and packages in a timely manner
- Prepare and coordinate outgoing mail and shipments
- Ensure accurate routing of time‑sensitive documents and deliveries
- Maintain organized mail and package handling processes for the branch
- Support receipt and onboarding of company vehicles at the branch
- Manage distribution and tracking of vehicle‑related assets (keys, license plates and registration materials, fuel cards, safety equipment such as first aid kits, cones, PPE)
- Maintain records of vehicle assignments and asset accountability
- Coordinate with leadership, fleet management, and field personnel to ensure proper allocation and readiness of vehicles
- Log, track, and communicate service tickets to Project Management and Field Operations teams
- Serve as a central point of coordination between warehouse, office, and field staff
- Provide timely updates on order fulfillment, inventory status, and service needs
- Manage office supply inventory and ensure availability for team members
- Assist with company events, meetings, and accommodating visitor needs
- Coordinate appointments and scheduling for fleet service and maintenance, vendor visits and inspections, and branch operational needs and events
- Support overall branch organization and daily operational efficiency
- Maintain a safe and secure work environment in accordance with company standards
- Escalate facility or building concerns that impact team member safety to appropriate EHS channels
- Ensure compliance with safety procedures, storage guidelines, and security protocols
- Share important updates and communications from property management with the team
- Maintain logs, documentation, and operational records as required
- Support leadership with additional administrative or operational tasks as needed
- Experience in warehouse operations, logistics, facilities coordination, or branch support (preferred)
- Strong organizational and multitasking skills
- High attention to detail and accuracy
- Effective written and verbal communication skills
- Ability to work independently and take initiative
- Experience with inventory systems, scheduling tools, or office software is a plus
- Highly organized and process‑driven
- Strong communicator (proactive, clear, timely, both written & orally)
- Detail‑oriented and dependable
- Safety‑focused with a strong sense of accountability
- Team‑oriented with a service mentality
