Accounts Receivable Specialist

We are seeking an experienced Accounts Receivable Specialist to join our finance team. This role blends traditional AR responsibilities with proactive collection efforts to ensure timely payments, accurate account management, and strong customer relationships. The ideal candidate is detail‑oriented, confident communicating with customers, and comfortable balancing firmness with professionalism.

Key Responsibilities

• Process customer invoices, apply payments, and maintain accurate AR ledgers.
• Monitor aging reports daily and follow up on past-due accounts via phone and email.
• Research and resolve short pays, billing discrepancies, and account disputes.
• Partner closely with sales, customer service, and accounting teams to resolve account issues.
• Negotiate payment terms and establish payment plans when appropriate.
• Prepare weekly and monthly AR and collections reports for management.
• Maintain detailed documentation of collection efforts and customer communication.
• Support month-end close activities and assist with audit requests.
• Identify trends or recurring issues and recommend process improvements.

Qualifications

• 2+ years of Accounts Receivable or collections experience (B2B preferred).
• Strong understanding of billing, cash application, and aging analysis.
• Excellent communication skills with the ability to manage difficult conversations professionally.
• Experience with ERP or accounting systems (SAP, AS400, Quick Books, Oracle, or similar).
• Proficiency in Microsoft Excel and Outlook.
• High attention to detail, strong follow-up skills, and the ability to multitask effectively
