We are seeking a dependable, detail-oriented Accounting and Administrative Assistant to support a variety of administrative, accounting, and customer service functions. This position plays a key role in keeping the office running smoothly and efficiently while supporting multiple departments.

Duties/Responsibilities
  • Apply incoming customer payments (Cash Application)
  • Assist with collections and account follow-ups
  • Apply monthly finance charges to overdue accounts
  • Send monthly customer statements
  • Match vendor bills with purchase orders and receiving documentation
  • Enter vendor bills and ensure proper account coding
  • Review vendor statements and assist in resolving discrepancies
  • Assist with obtaining and tracking sales tax certificates
Administrative & Office Duties
  • Sort and distribute incoming mail; assist with outgoing mail and bulk mailings
  • Perform bank deposits and local bank runs as needed
  • Answer and support incoming phone calls with professionalism
  • Order and maintain office supplies inventory
  • Assist with scheduling appointments, meetings, or deliveries
  • Provide general administrative support, including copying, filing, and document organization
  • Help with organizing special events, meetings, or company functions
Qualifications
  • Associates Degree or prior office or administrative experience preferred (accounting or bookkeeping experience desired)
  • Familiarity with basic accounting principles and office procedures
  • Strong attention to detail and excellent organizational skills
  • Clear and professional verbal and written communication
  • Proficient in Microsoft Office (Excel, Word, Outlook); experience with accounting or ERP software is desired
  • Positive attitude, willingness to learn, and ability to work independently or as part of a team
  • Valid driver’s license for occasional errands or bank runs

This position is based in our main office and requires in-person attendance Monday through Friday, from 8-5pm. Occasional travel within the local area is required.

Job Type: Full-Time

Pay: $20 to $25 per hour

Day Shift, Monday to Friday
