Description We are looking for an Administrative Assistant to join our team in Grand Rapids, Michigan, for a Contract to permanent position within the non-profit sector. This role requires a detail-oriented individual who thrives in administrative and operational tasks, supporting program goals and ensuring compliance with regulatory requirements. The ideal candidate will contribute to the organization's mission by providing exceptional service and maintaining efficient office operations.

Responsibilities:

- Provide administrative support to ensure smooth daily operations, including managing schedules and coordinating meetings.

- Handle inbound calls, addressing inquiries and directing them to the appropriate department.

- Perform data entry tasks with accuracy to maintain organized and up-to-date records.

- Serve as the first point of contact for visitors, managing receptionist duties with a welcoming demeanor.

- Assist in preparing, organizing, and distributing documents and reports as needed.

- Maintain compliance with organizational policies and procedures, ensuring adherence to regulatory standards.

- Collaborate with team members to support program initiatives and achieve targeted outcomes.

- Monitor and manage office supplies inventory, placing orders as necessary to maintain stock.

- Participate in team meetings, providing input and updates on administrative tasks.

- Support the collection and reporting of program data to meet organizational and funding requirements. Requirements - Proven experience in administrative assistance or related roles.

- Strong proficiency in data entry and managing office documentation.

- Excellent communication skills, both verbal and written.

- Ability to handle inbound calls professionally and provide customer service.

- Familiarity with receptionist duties, including greeting visitors and managing inquiries.

- Detail-oriented with strong organizational and time-management abilities.

- Proficiency in using office software and tools, such as Microsoft Office Suite.
