Position: Administrative Assistant Donor Services-FT

Position Summary

Provides administrative support to corresponding Director / Manager. Organizes and provides information to the department, internal and external customers to deliver the highest levels of customer service. May procure departmental metrics and other statistical information. Provides administrate support for a wide variety of recurring and ad hoc administrative projects.

Responsibilities
  • The essential duties and responsibilities include the following. Other duties may be assigned.
  • Demonstrates our core values:

  • Calendar management (director, manager, departmental, team) and schedule support.
  • May administer timekeeping for payroll, initiate requisitions and order office supplies, make travel/food/room arrangements for meetings and conferences, and prepare travel reimbursement forms.
  • Creates meeting agendas and takes minutes. Creates presentations with Power Point.
  • Calculates and compiles data for monthly or other reports.
  • Performs electronic and hard copy document management, including departmental archiving.
  • Provides excellent customer service, primarily internal in nature. Fields, records, triages, tracks, responds promptly to and resolves internal and external customer inquiries by telephone, electronically, or face to face. Evaluates urgency, importance, and priority of service issues. Directs requests and unresolved issues to the appropriate designated resource. Follows up on customer interactions as appropriate.
  • Supports other administrative positions as relevant –i.e. – registration.
  • May maintain relevant departmental forms databases.
  • Other relevant duties may be assigned.
  • Performs other duties as assigned

Qualifications Education
  • High School required
  • or equivalent required
  • one to two years related experience required
  • training: or equivalent combination of education and experience in area supporting. required
Experience
  • 1-3 years using word processing and spreadsheet software required
Knowledge,

Skills And Abilities
  • Ability to read and understand simple instructions, short correspondence and memos. required
  • Ability to write basic correspondence. required
  • Ability to effectively communicate with supervisors and other co-workers. required
  • Ability to add, subtracts, multiply, and divide in all units of measure, using whole numbers, common fractions and decimals. required
  • Ability to compute rate, ratio, and percent and draw and interpret bar graphs. required
  • Ability to solve complex problems and deal with a variety of concrete variable in situations where only limited standardization exists. required

    Ability to interpret a variety of instructions finished in written oral, diagram or schedule form. required
Tools and Technology
  • Personal Computer (desk top, lap top, tablet) required
  • General office equipment (computer, printer, fax, copy machine) required
  • Microsoft Suite (Word, Excel, PowerPoint, Access and Outlook) - Intermediate required
  • Ability to maintain databases, create documents, create formulas and graphs from spreadsheets required
  • Relevant ability to troubleshoot within BBCS to resolve operational issues. required
