Position: Administrative Assistant (Part-Time)

Part-Time Administrative Assistant

Creative Dining Services is looking for an organized, dependable, and service-minded Part-Time Administrative Assistant to support our dining services team at Aquinas College.

This is a great opportunity for someone who enjoys variety and takes pride in keeping people, paperwork, and daily office processes organized. You will provide essential administrative support across several areas of the operation, including employee records, payroll and attendance tracking, financial documentation, office coordination, and campus dining communications.

You do not need to be an expert in every area on day one. We are looking for someone who is comfortable learning new systems, following established processes, protecting confidential information, and helping the department stay organized and on schedule.

Salary Range: $18.00 To $20.00 Hourly

What You’ll Do

In this role, you will:

  • Provide day-to-day administrative support for the dining services leadership team.
  • Welcome office visitors and respond professionally to phone calls, emails, and general inquiries.
  • Assist with employee onboarding paperwork, personnel files, benefits documentation, and other HR-related administrative tasks.
  • Review timesheets, track attendance, and help ensure payroll information is accurate and submitted on time.
  • Enter schedules and employee information into company systems.
  • Assist with invoices, accounts payable processes, credit card reporting, deposits, financial data entry, and recordkeeping.
  • Prepare and maintain confidential electronic and paper files.
  • Coordinate office mail, supplies, parking permits, keys, and other departmental needs.
  • Help maintain dining menus and communications across the website, digital displays, social media, and printed materials.
  • Assist with office visits, faculty and staff meal documentation, catering transactions, and other operational reporting.
  • Support occasional errands, deposits, food pantry stocking, and other administrative needs that help the dining program run smoothly.
What Will Help You Succeed

We are looking for someone who:

  • Is organized, accurate, and attentive to detail.
  • Can manage several recurring responsibilities and deadlines.
  • Communicates professionally and follows through on commitments.
  • Is comfortable handling confidential employee and business information.
  • Has basic computer proficiency and is willing to learn systems such as ADP, Intacct, Ramp, and campus dining platforms.
  • Can work independently while also partnering closely with managers and other team members.
  • Brings a positive, flexible, and helpful approach to the workplace.
  • Is comfortable working in the active, fast-moving environment of a college dining operation.
Qualifications
  • High school diploma or equivalent required.
  • Prior administrative, office, payroll, HR, accounting, or food-service support experience is helpful but not required.
  • Working knowledge of Microsoft Word, Excel, Outlook, and general office technology.
  • Strong basic reading, writing, math, and data-entry skills.
  • Ability to maintain professionalism and accuracy, including during busy periods.
  • Status: Part-time, non-exempt
  • Location: Aquinas College, Grand Rapids, Michigan
  • Schedule: Monday through Friday, with specific hours to be discussed
  • Pay: $18 - $20 per hour
  • Reports to: Food Service Director
