Position: Office Manager / Financial Advisor Assistant

The ideal candidate will manage the day-to-day operations of the financial office, serving as the first point of contact for clients, managing advisor calendars, preparing client documentation, and maintaining compliant records. This role requires high attention to detail, proficiency in office technology, critical thinking, and the ability to maintain strict confidentiality. Responsibilities
  • Work independently, effectively, and efficiently.
  • Upkeep of a client ready professional environment.
  • Manage confidential and/or sensitive information responsibly.
  • Maintain administrative functions of the office such as office supplies and mail.
  • Compliance support:
    Ensure all client files, documentation, and procedures comply with firm policies and FINRA/SEC regulations.
  • Manage CRM’s, physical and digital files.
  • Interact with clients in person, electronically and over the phone in a professional manner.
  • Facilitate and resolve client service requests.
  • Apply a working knowledge of operations/client-service processes.
  • Ensure paperwork is accurately prepared and provided for all client meetings and service requests.
  • Assist Financial Advisor with daily activities, including maintaining calendars, preparing correspondence, and providing friendly, professional customer service.
  • Perform other duties as assigned and intuitively determine ways to improve procedures and operational requirements.
  • Communication and collaboration across all branches.
Experience and Skills
  • Detail oriented and able to work in a fast-paced environment.
  • Committed to communicating and providing exceptional customer service.
  • High degree of comfort managing multiple tasks simultaneously.
  • Strong character and positive mindset.
  • Ability to effectively prioritize workload and meet deadlines.
  • Proficient with Microsoft Office with a major focus in Excel. Experience with CRM (Customer Relationship Management) Systems.
  • Work well with a team and foster culture of team work.
  • Basic math skills.
Education and Benefits
  • An Associates degree or Bachelor’s degree is preferred. However, equivalent work experience will be strongly considered.

    Schedule:

    Day Shift;
    Monday to Thursday: 8:30am – 4:00 pm, Friday: 8:30am to 12:30pm with some flexibility; daily lunch break.
