Job Summary

This Project Administrator position located in Grand Rapids, MI, supports the Equipment group. Under direct supervision, the role is responsible for routine project documentation, materials, job costing, status monitoring, invoicing, and administrative close‑out of each project. The role closely interacts with Project Managers, Account Managers and other project staff to ensure timely completion of projects.

Responsibilities
  • General administrative functions to support the equipment fulfillment process.
  • Assist with ordering bill of materials associated with projects, obtaining estimated ship dates, and updating schedules.
  • Assist with updating customers on estimated ship dates.
  • Process documents for service claims, sales allowances, retrofit, and labor warranty.
  • Assist with processing all job closeout documentation.
Qualifications
  • High School diploma or GED with up to two (2) years of related experience and/or training, or an equivalent combination of education and experience.
  • Strong communication skills and a proactive approach.
  • Ability to work independently and as part of a team, multitask, and meet tight deadlines in a high‑paced environment.
  • Familiarity with HVAC system operations preferred, but not required.
  • Flexibility to work overtime and weekends as required.
Compensation

Annual base salary range: $63,111.66 – $. The actual compensation will depend on seniority, merit, geographic location, education, experience, travel requirements, and union designation.
