An Administrative Assistant provides essential clerical and organizational support to ensure the efficient operation of an office. This role involves a variety of tasks, including answering phones, scheduling appointments, managing files, handling correspondence, and preparing documents. They act as a central point of contact for communication and coordination within the office, contributing to a productive work environment.
Note: The candidate selected for this role will have the potential to grow into an insurance producer, which offers additional compensation opportunities.
Education And Certification- High School Diploma or equivalent
- Prior experience in a similar office support role – especially in the insurance field – is helpful but not required
- Prolonged periods sitting at a desk and working on a computer
- Must be able to lift up to 15 pounds at times.
- Answering phones, taking messages, directing calls, and managing emails and other correspondence.
- Greeting visitors and clients to the office.
- Managing calendars, scheduling appointments, and coordinating meetings and travel arrangements.
- Maintaining physical and digital files, databases, and other record-keeping systems.
- Preparing, editing, and proofreading documents, reports, and presentations.
- Ordering supplies, managing office equipment, and coordinating maintenance.
- Event Planning:
Assisting with the planning and coordination of meetings, conferences, and other events. - Assisting with various projects as called upon.
- Inputting and updating information into various systems and databases.
- Communication
Skills:
Excellent verbal and written communication skills are crucial for interacting with colleagues, clients, and vendors. - Professionalism:
Maintain the utmost of proper decorum in every interaction, in both appearance and action. - Organization and Time Management:
Strong organizational and time management skills are essential for managing multiple tasks and deadlines. - Computer Proficiency:
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other relevant software. - Attention to Detail:
