Role Description The Scheduling Coordinator is a full-time, on-site role based in Grand Rapids, MI. This position is responsible for managing and confirming appointments for court reporting, video conferencing, conference room bookings, and other litigation support services. Day-to-day tasks include coordinating schedules between clients, court reporters, and internal teams; responding to phone and email inquiries; and updating calendars and case information in scheduling systems.

The Scheduling Coordinator will also prepare and distribute confirmations, maintain accurate records, support administrative processes related to hearings and depositions, and collaborate with team members to ensure timely and efficient service delivery. This role requires consistent attention to detail, a client-focused mindset, and effective communication in a fast-paced environment.
Qualifications

  • Candidates should possess strong interpersonal skills and professional communication abilities.
  • Candidates should possess excellent phone etiquette and customer service skills for client-facing interactions.
  • Candidates should possess appointment scheduling and calendar management skills, including handling multiple, changing priorities.
  • Candidates should possess administrative assistance skills, such as data entry, document handling, and basic office support.
  • Strong organizational skills, accuracy, and attention to detail in a deadline-driven environment.
  • Proficiency with common office software (e.g., Microsoft Office, scheduling tools); familiarity with legal or professional services environments is beneficial.
  • Ability to work collaboratively with cross-functional teams and maintain confidentiality of sensitive information.
  • High school diploma or equivalent required; post-secondary education or experience in legal support or scheduling coordination is a plus.
