Summary: Community Education Registrar and Administrative Assistant to the Community Engagement Office manages the district's Community Education Program while serving as the primary administrative support and front-desk ambassador for the Educational Services Center (ESC). As Community Education Registrar, this role manages the registration platform and program-related tasks, including bookkeeping. Also serves as one of the front-desk ambassadors for the ESC, providing professional, confidential customer service and assisting with inquiries about district operations.
Additionally, the role provides administrative support to the Office of School & Community Engagement, including maintaining activity calendars.
Essential Functions:
- As Community Education Registrar:
- Serves as registrar and bookkeeper for the Community Education Program and its Gold Card program, supporting seasonal terms.
- Coordinates courses and camps by scheduling classes, facilities, and instructors; obtaining clearances; establishing fees; updating course descriptions, brochures, and program information;
- Maintains and manages the online registration platform, including course setup, program updates, registration workflows, fee configuration, and participant records.
- Manages registrations, payments, deposits, reimbursements, refunds, and financial records, while tracking program revenue and expenditures.
- Prepares contractor agreements and payments in a timely manner.
- Coordinates class and camp cancellations and participant communications.
- As Community Engagement Administrative Assistant and ESC Receptionist:
- Serves as the Administrative Assistant for the Office of School & Community Engagement and as one of two receptionists for the Educational Services Center (ESC), providing exceptional customer service and serving as the first point of contact for the district.
- Professionally interacts with families, community members, vendors, employment candidates, School Board members, staff, media, and visitors in person and by phone, responding to inquiries with accuracy, tact, discretion, and confidentiality.
- Assesses and resolves routine questions and concerns, directs complex issues to the appropriate departments, and responds calmly and effectively during urgent situations.
- Performs general office and administrative duties while maintaining a comprehensive knowledge of district operations, programs, and procedures to assist with topics such as student registration, transportation, homeschooling, and other district services.
- Proofreads district publications and communications to ensure accuracy, consistency, and adherence to district standards.
- Assists with the preparation, editing, proofreading, and maintenance of the district activities calendar and other web-based calendar content.
- Supports the Director of School & Community Engagement and the Coordinator of Communications & Media with purchasing, contracts, budget tracking, purchase orders, and other administrative and operational responsibilities as assigned.
Education and/or Certification Required:
- High School Diploma or GED
- Additional clerical training and bookkeeping preferred.
