This position provides, clerical support and data entry assistance for the staff of the OMB Department as well as front desk administrative duties by assisting customers/employees that come into office, answer phone and assist or direct individuals to the appropriate person. This position is responsible for the daily receipt and data entry of all payments received by the tribe, either in person or by mail.

MINIMUM QUALIFICATIONS

  • High School Diploma or GED.
  • Two (2) year of computerized data entry required.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Serve as main Cashier to perform cash receipts duties including data entry into the accounting system in accordance with established procedures.
  • Assist in maintaining the current vendor, tribal member and Resident Tribal Member demographic information in the accounting system.
  • Maintain the files and records of the department and prepare records for storage after the annual audit has been completed.

  • Maintain database of items in storage & facilitate transfer of items to and from storage facility.
  • Distribute mail and faxes to departmental staff.
  • Maintain the central file of all OMB tribal forms and keep inventory level in lobby adequate for client retrieval.
  • Assist in coordinating and conducting prescribed emergency management drills for the OMB Department.
  • Assist auditors with gathering information from files and the accounting system when directed by the senior accounting staff.
  • Place work orders with the Maintenance Department or the Information Technology Department as needed.
  • Provide clerical and backup assistance for the per capita.
  • Perform other duties as assigned.

SKILLS AND ABILITIES

  • Must have excellent written and verbal communication skills.
  • Good time management and organizational skills are critical.
  • Excellent interpersonal skills with demonstrated patience, tact, and respect.
  • Exceptional attention to detail and follow-up skills are required.
  • Work requires proficiency in computer literacy, preferably in Microsoft Windows, Word, Excel, and other Microsoft office products and database applications.
  • Knowledge of computer operations is essential.
  • Ability to quickly evaluate alternatives and decide on a plan of action.
  • Knowledge of the principles and practices of business organization and management.
  • Ability to work with large amounts of data and to detect errors.
  • Must have good math skills and comprehension skills.
  • Must be able to type at least 40wpm

EDUCATION and/or EXPERIENCE

High School diploma or GED is required. Two or more years of experience in office management required. Two years of experience in computerized accounting data entry is required. Experience in developing and maintaining databases is required or any equivalent combination of education, experience, and training that provides the required knowledge, skills, and abilities.

SUPERVISORY RESPONSIBILITIES

No supervisory responsibility is required.

EQUIPMENT TO BE USED

General office equipment such as, calculators, computers, modem, copiers, fax, phone systems, etc.

TYPICAL PHYSICAL DEMANDS

Work requires sitting, lifting, reaching, walking, and lifting heavy objects, such as a case of paper or several books o requires manual dexterity to operate office equipment, keyboarding, copiers, etc.

TYPICAL MENTAL DEMANDS

The employee uses judgement in identifying and selecting the most appropriate procedures to use, or in determining which of several established alternatives to use. Some deadlines are involved, so there is time pressure on occasion.

WORKING CONDITIONS

Work is performed in an office environment, using a computer for most of the daily work.

Native American preference will apply. Must be willing and able to pass a background investigation and a drug and alcohol urinalysis as a condition of employment. Adherence to strict company policy regarding confidentiality is a must.
