As an Administrative/Sales Support team member, you will process vendor invoices, invoice warehouse and direct orders, and provide general office and administrative support. You will also serve as a key connection between our customers and outside sales team, helping ensure orders are processed smoothly and accurately while delivering the exceptional service that reflects our products, people, and culture.
Responsibilities:- Review, process, and maintain invoices, purchase orders, and supporting documentation to ensure accurate and timely billing and payment processing.
- Coordinate invoice approvals and communicate with vendors regarding payment status and invoice inquiries.
- Provide administrative and office support, including answering and directing phone calls, emails, and correspondence.
- Assist customers by responding to inquiries and resolving issues in a professional and timely manner.
- Prepare and process business documents such as invoices, quotes, order confirmations, reports, memos, and letters.
- Maintain accurate physical and electronic filing systems, records, and documentation for operational and audit purposes.
- Schedule and coordinate meetings, appointments, and travel arrangements as needed.
- Generate reports and maintain records of sales, purchases, and other business transactions.
- Support office staff with special projects and other administrative tasks.
- Maintain an organized and professional work environment.
- Support the daily sales operations of a building materials distribution center.
- Work with customers and co-workers to build solid relationships based on trust and competence.
- Able to handle detailed work quickly and correctly.
- Support a fast-paced environment with multiple projects going simultaneously.
- Utilize the DMSi software Agility, for order entry, purchasing entry, and customer information.
- Follow established guidelines, structure, and policies, while working with and for others
- Maintain customer pricing records.
- Follow up all quotes and handle customer service claims in a timely manner.

- Strong interpersonal and communication skills.
- Understanding of sales processes.
- Critical thinking skills to quickly solve issues and/or problems.
- Proficiency with prioritizing and meeting multiple deadlines.
- Ability to handle multiple complex tasks simultaneously.
- Experienced with Microsoft Office Suite (Excel, Outlook, Word).
- Minimum of 3 years’ experience with administrative support, customer service, and/or sales.
- Industry experience preferred.
- Sitting at a desk and working on a computer for prolonged periods.
- Ability to lift and carry office supplies, documents, and small packages up to 20 pounds. Occasionally, heavier lifting may be required.
