Coordinator for the Department of Evangelization

Position Title: Coordinator for the Department of Evangelization

Reports To: Vicar of Evangelization

FLSA: 40-45 hours per week, exempt

Status: Full Time

Effective Date: August 2026

BROAD STATEMENT OF RESPONSIBILITIES:

Provide high-level executive administrative support to the Vicar for Evangelization and administrative support to the Directors within the Department. Manage the Department’s communications, including day-to-day oversight of its social media presence and website content.

SPECIFIC DUTIES: (other duties may be assigned)

Administrative Support

  • Provide general correspondence and communications.
  • Maintain a high level of confidentiality and discretion on matters that the Vicar requests.
  • Coordinate and respond to questions in absence of the Vicar or Director(s).
  • Serves as the Vicar’s voice and representative to the team during his absence, communicating direction, requests, and priorities on his behalf and ensuring that his guidance is conveyed clearly and appropriately.
  • Facilitate communication with pastors, other parish staff and program participants.
  • Maintain appropriate database and prepare mailings/emails.
  • Serve as the liaison between the Vicar and Department Directors for day-to-day communications and office matters.
  • Coordinate and attend meetings and take minutes as requested.
  • Assist with maintaining up-to-date website information and keeping events calendar up to date.
  • Process invoices and check requests.
  • Make necessary purchases for meetings as needed.
  • Attend and participate in staff meetings for the Department of Evangelization.
  • Manage the Department of Evangelization’s calendar.
  • Review and approve employee timecards, ensuring final sign-off in coordination with the Vicar.

Event Coordination and Support

  • Coordinate promotion efforts, providing up-to-date information to Communications department.
  • Assist Directors in preparing and coordinating event materials and handouts.
  • Process registrations.
  • Support Directors with logistical preparations for events.
  • Process evaluations for scheduled events.
  • Process incoming and outgoing payments.
  • Follow up to obtain required documents.
  • Maintain ongoing project files.
  • Provide support to Directors in coordinating travel and hotel accommodations for event speakers.

Social Media & Website Management

  • Serve as the primary day-to-day manager of the Department of Evangelization’s Facebook page, including creating and scheduling posts, responding to comments and messages, and monitoring engagement.
  • Create and manage the Department’s Instagram account, including posts, stories, and reels highlighting events, programs, and ministries.
  • Maintain and update the Department’s website pages with current events, programs, and resource information.
  • Develop a content calendar for social media and website updates with the Coordinator and Communications Department.
  • Translate or coordinate translation of key content into Spanish for Spanish-speaking parishioners.
KNOWLEDGE, SKILLS, ABILITIES
  • Bilingual in English and Spanish required.
  • Knowledge of Catholic teaching, policies, and procedures. Practicing Roman Catholic with broad knowledge of Catholic teaching is preferred.
  • Ministry experience helpful
  • Degree in a related field helpful
  • Ability to relate to a wide range of diverse cultures
  • Ability to work independently
  • Excellent communication, interpersonal and collaborative abilities
  • Detail oriented and the ability to schedule and prioritize projects
  • Broad knowledge of organizational operations and policy and a high level of discretion and integrity
  • Strong commitment to ongoing spiritual, personal, and professional development
  • Knowledge of office equipment, internet navigation and computer software
  • Proficient in MS Office suite (Word, Excel, Publisher, Forms, Teams, SharePoint, Canva)
  • Demonstrated experience managing Facebook and Instagram accounts for an organization, business, or ministry, including content creation and scheduling tools.
PHYSICAL REQUIREMENTS/WORKING CONDITIONS (if applicable):
  • Perform sedentary tasks, such as sitting and working at a desk for extended periods.
  • Occasionally lift and carry items up to 25 lbs. (e.g., files, supplies, equipment), as needed during workflow or event setup.
  • Able to remain standing for prolonged periods (several hours) during events, meetings, or receptions, etc.
