With a strong commitment to excellence and innovation, we are seeking a highly organized, detail-oriented, and proactive individual to join our team as a Scheduler & Billing Specialist
. This dual-role position is critical to ensuring both the efficient coordination of field operations and the accuracy of billing processes.

Key Responsibilities:
Scheduling & Coordination:
  • Coordinate daily appointments and job schedules for technicians.
  • Answer phones and emails related to scheduling inquiries and service requests.
  • Input and manage customer and job data in Salesforce.
  • Confirm appointments with customers and follow up on schedule changes.
  • Communicate scheduling updates and conflicts with internal teams and customers in a timely and professional manner.
  • Maintain accurate and up-to-date records of all schedules, job status, and appointments.
  • Collaborate with other departments to align technician availability with job priorities.
  • Provide outstanding customer service with a focus on responsiveness and professionalism.
Billing & Invoicing:
  • Review completed work orders to ensure all necessary job details and charges are recorded accurately.
  • Verify that technicians have completed jobs and charged appropriately based on services rendered.
  • Generate invoices in Salesforce and ensure accurate data transfer to Quick Books.
  • Monitor and follow up on outstanding billing tasks to ensure timely invoicing.
  • Assist in resolving billing discrepancies or customer inquiries related to invoices.
  • Collaborate with technicians and management to improve billing accuracy and consistency.
Qualifications:
  • Proven experience in scheduling, billing, or administrative roles (property services or trades industry preferred).
  • Proficiency with Salesforce and Quick Books (or similar CRM and accounting platforms).
  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication skills.
  • High attention to detail and a commitment to accuracy.
  • Strong problem-solving skills and the ability to adapt to shifting priorities.
  • Customer service mindset with a team-oriented approach.
