Office Administrator/ Coordinator
We are i seeking a highly professional, organized, and proactive Office Manager to oversee daily operations and provide administrative support in a fast-paced, confidential environment. This role is ideal for a detail-oriented professional who enjoys wearing multiple hats and serving as a trusted resource for office administration, vendor coordination, scheduling, and special projects.
Key ResponsibilitiesManage day-to-day office operations and ensure the office runs efficiently and professionally.
Coordinate calendars, meetings, travel arrangements, and appointments for a small office leadership.
Serve as the primary point of contact for vendors, service providers, and external partners.
Manage office supplies, facilities needs, and vendor contracts.
Assist with bookkeeping functions, invoice processing, expense tracking, and record maintenance.
Prepare correspondence, reports, presentations, and other business documents.
Maintain confidential files, records, and sensitive information with discretion.
Coordinate family and business-related events, meetings, and special projects.
Monitor office budgets and assist with administrative reporting.
Support additional administrative and operational needs as they arise.
3+ years of office management, executive administration, or related experience.
Exceptional organizational and time-management skills.
Strong written and verbal communication abilities.
Ability to handle confidential information with professionalism and discretion.
Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
Strong problem-solving skills and ability to work independently.
High level of attention to detail and follow-through.
Experience supporting executives, business owners, or high-net-worth individuals.
Basic bookkeeping or accounting experience.
Experience coordinating travel, events, and vendor relationships.
Background in a family office, professional services, or small business environment.
The ideal candidate is polished, resourceful, and dependable, with the ability to anticipate needs and manage competing priorities. This individual will play a key role in ensuring smooth operations while maintaining the highest level of confidentiality and professionalism.
Pay Details: $60,000.00 to $75,000.00 per year
