We are seeking an experienced Wealth Management Operations Manager to support and optimize our firm’s operational processes while delivering a seamless, white-glove experience to our high-net-worth clients. This role is ideal for a motivated professional who values precision, accountability, and continuous improvement in a dynamic financial services environment.
Reporting directly to the Director of Operations, the Operations Manager plays a critical role in ensuring efficient day-to-day operations, administrative functioning, regulatory compliance, and high standards of client service.
Key Responsibilities Client Service & Relationship Management- Serve as a primary point of contact for select client groups, handling service requests via phone and email in a professional and timely manner
- Participate in client meetings and provide clear, consistent follow-up
- Resolve client issues independently when appropriate and escalate as needed
- Build trusted relationships that enhance the overall client experience
- Manage client onboarding, account maintenance, documentation, and money movement processes
- Coordinate complex workflows across systems, stakeholders, and regulatory requirements
- Create, deliver, and monitor financial documents using platforms such as Docu Sign and custodial delivery systems
- Maintain accurate client and account data across internal databases and reporting systems
- Support accounting and financial operations on an as-needed basis
- Prepare customized quarterly reports
- Ensure advisors receive accurate and timely information
- Track action items and follow-ups to support effective client engagement
- Assist with meeting logistics and preparation
- Identify opportunities to enhance operational efficiency, tools, and workflows
- Navigate internal tracking systems to support compliance and account monitoring
- Assist with office coordination, scheduling, and team support activities
- SIE or Series 65 license, or willingness to obtain within 180 days of hire
- Minimum of 5 years of experience in the wealth management industry/RIA space
- Working knowledge of regulatory requirements within the investment advisory space
- Proficiency with operational and reporting tools such as CRM systems, Excel, and digital documentation platforms
- Bachelor’s degree preferred, or equivalent professional experience
