Automotive Appointment Coordinator

The Position

As an Automotive Appointment Coordinator, you help keep the service drive organized by connecting customers to the right appointment at the right time. This role supports marketing efforts and accurate CRM records so customers get a smooth, professional experience.

Key responsibilities:

• Answer inbound calls and schedule service appointments
• Recommend and promote service options with confidence
• Make outbound customer satisfaction calls
• Respond to customer emails and chats
• Confirm appointments, reschedule missed visits, and follow up on overdue service
• Contact customers about marketing initiatives and after dealership visits
• Enter, update, and clean customer information in the CRM
• Complete other tasks as assigned

Qualifications:

• High school diploma/GED (or equivalent combination of education and experience)
• Excellent communication skills
• Ability to multitask in a fast-paced setting

You’ll start by getting set up in the office, checking the day's schedule, and reviewing any carryover items from the prior shift. Throughout the day you’ll move between phone, email, and chat, keeping your notes clear and your screens organized. You’ll spend time updating customer records, double-checking details, and making sure follow-ups are documented so nothing slips. Expect a steady pace, quick handoffs with teammates, and short bursts of focused work between customer conversations.

By the end of the day, you’ll close out open items and leave clean information for the next shift.
