The HR Compliance Specialist position is a key associate at Hope Network whose primary responsibilities include:
The HR Compliance Specialist position is responsible for developing and implementing a records management program that ensures Hope Network is complying with the legal and regulatory compliance requirements for contracts, funders, licensing regulations and laws.
Additionally, this position performs all necessary internal audits, provides information for external audits, and performs research regarding regulatory and legal changes to laws and contract and makes recommendations when necessary.

- Regular and predictable attendance is an essential requirement of this position.
- Maintenance of the Records Management strategy to ensure Hope Network is complying with all legal and regularity requirements.
- Filing on a regular basis to ensure employee files are maintained.
- Responsible for ensuring records management policies, processes, procedures and tools are implemented.
- Manage the release of information to meet the requests for documentation and provide assistance as needed.
- Manage the on-site and off-site; transfer, storage, retention and destruction of personnel records in compliance with Records Management policies.
- Appropriate storage and maintenance of I9 documents for active and terminate employees.
- Responsible for preparing employee files for licensing review and notifying the appropriate staff when information is missing, outdated or incomplete.
- Periodically audit critical information for accuracy and parallel consistency.
- Send out Bullard-Plawecki letters within 24-hours of receipt.
- Responsible for making sure the employment file cabinets are unlocked during normal business hours and locked at the end of the business day.
- Assemble new hire files and disassemble all terminated files.
- Copy and distribute employee files or portions of the files as identified by request or subpoena.
- Provides analytical data/metrics on a monthly basis.
- Other duties as required or assigned.
- Bachelor’s degree in related field or equivalent related human resources experience, preferred.
- Valid driver’s license driving record that is acceptable according to Hope Network Policy.
- Solid quantitative/analytical/problem-solving skills required.
- Strong time management and detail organization skills required.
- Experience with computer software programs including spreadsheet and word processing programs (preferably ADP, Microsoft Excel and Word). Proficient in the use of human resources information systems.
- 4 years experience in related field, preferred.
