Warner Norcross + Judd is seeking a Legal Operations Coordinator to join our team in Grand Rapids. The Legal Operations Coordinator is responsible for driving the effective adoption, measurable use, and business impact of the Firm’s approved technology, focused on AI tools and workflows. This role focuses on training, engagement, analytics, and continuous improvement to ensure AI solutions are used responsibly, consistently, and in alignment with Firm policies and risk standards.
Working closely with the AI Workflow Engineer, Loss Prevention, and the AI Communications team, the Legal Operations Coordinator serves as the connection between technology, practice needs, and user experience, translating feedback and data into actionable improvements.
About the Opportunity Responsibilities- Drive adoption and outcomes for Firm-approved AI tools and workflows by overseeing training, engagement strategies, usage analytics, and feedback mechanisms
- Own and maintain dashboards tracking workflow usage, license utilization, training completion, and practice group engagement, using data to inform decisions and priorities
- Manage AI licensing operations, including license allocation, renewals, onboarding and offboarding processes, and coordination with vendors
- Conduct user listening sessions, surveys, and feedback forums to gather insights from attorneys and staff; translate findings into workflow enhancements and updated training materials
- Coordinate and support an internal AI champion network, including facilitating office hours, community discussions, and peer-to-peer knowledge sharing
- Partner with the AI Communications team to plan and execute clear, consistent internal communications related to AI tools, updates, and best practices
- Support pilot initiatives by coordinating surveys, analyzing results, and developing rollout and scaling plans in collaboration with key stakeholders
- Serve as a primary intake point for new AI workflow and tool requests, ensuring appropriate evaluation, prioritization, and coordination with the AI Workflow Engineer and Loss Prevention
- Monitor adoption trends and user behavior to identify gaps, risks, and opportunities for increased effectiveness and responsible use

Experience, Education and Training:
- Bachelor’s degree in business, analytics, information systems, related field, or equivalent practical experience
- Three to six years of experience in knowledge management, practice management, analytics, or related function
- Experience supporting technology adoption, training programs, or internal enablement initiatives
- Previous experience in a law firm or professional services environment preferred
- Familiarity with Microsoft Power Platform strongly preferred
