We're looking for an Administrative Assistant who thrives in a dynamic environment, takes initiative, and brings structure and efficiency to our day-to-day operations.
WhatYou'll Do Scheduling & Communication
- Book initial consultations for prospective clients with our sales team
- Coordinate and confirm window and door installation appointments
- Manage rescheduling, cancellations, and client follow-ups
- Respond to emails, calls, voicemails, and online inquiries promptly and professionally
- Maintain and organize the company-wide master calendar, including sales, installations, and internal meetings
- Provide daily administrative support to the sales, operations, and office teams
- Serve as the first point of contact for all deliveries incoming and outgoing
- Keep the showroom clean, stocked, organized, and ready for customer visits
- Greet walk-in customers and direct them to the right team member
- Assist with walk-throughs and create a welcoming customer experience
- Enter and maintain data in our CRM and project management tools
- Help create and update customer files and project documents
- Support internal meeting coordination and track administrative tasks
- Manage office supplies and vendor communication as needed
- A strong multitasker who's detail-oriented and adaptable
- An excellent communicator, both written and verbal
- Experienced with scheduling platforms, CRM systems, and Microsoft Office or Google Workspace
- Minimum of 2 years in a similar administrative role (experience in construction, remodeling, or service-based scheduling is a plus)
- Independent and resourceful, while being a reliable team player
- Competitive salary of $35 - $45K based on experience
