Eichleay is seeking a self‑driven, collaborative Procurement Specialist to join our team. This full‑time position will consist of acquiring goods, services, or equipment for project‑based work. In this role you will be responsible for securing competitive pricing, ensuring timely delivery to meet project deadlines, acquiring goods or services that meet project specifications, identifying and managing potential risks, and contributing to the practices of ethical sourcing.

Compensation: $95,000 to $135,000.
* Anticipated annual salary may vary based on skills, experience, qualifications, and internal peer equity. This is a full‑time position that offers competitive compensation and benefits, including a 401(k) match.

Key Responsibilities
  • Issue request for quotation (RFQ) packages and expedite timely bid submission.
  • Coordinate the technical clarification phase with discipline engineers and bidders.
  • Prepare detailed commercial bid tabulations (CBT), including negotiated price, delivery, and commercial criteria analysis.
  • Prepare and issue contracts, including revisions and amendments.
  • Obtain supplier contract acceptance and reconfirm receipt of all contractual documents (technical and commercial).
  • Collect all commercial deliverables from suppliers, such as Insurance Certificates, Lien Releases, Letter of Credits, or Bank Guarantees.
  • Serve as the Single Point of Contact for all orders; coordinate and manage supplier submittal documentation, confirming receipt and acceptance in accordance with the contract.
  • Expedite all aspects of an order, including review of vendor documentation.
  • Confirm supplier sub‑order placement with deliveries meeting the contract schedule and reconfirm delivery as promised.
  • Review fabrication schedules to validate progress.
  • Facilitate contract status meetings with suppliers, the project team, and clients.
  • Monitor Quality Control (QC) activities and follow the Inspection and Test Plan (ITP) to confirm all inspection requirements meet contract specifications.
  • Monitor transportation of contract deliveries to destination, report shipping progress, confirm receipt of Material Receiving Report (MRR), and issue Over, Short, and Damaged Reports (OS&D) to suppliers.
  • Validate invoices and issue approvals.
Job Requirements
  • Bachelor’s degree, preferably in business, technical, or legal fields, or equivalent professional experience (at least six years in industrial procurement of specialized process equipment on multidisciplinary projects).
  • Extensive knowledge of purchasing and expediting services.
  • Basic knowledge of quality control, transportation services, and construction material handling.
  • Maintain a Project Procurement Report, managing the procurement purchasing process and post‑award contract milestones through delivery/acceptance.
  • Participate in meetings such as general project meetings (internal and external).
  • Lead supplier bid clarifications, order status reviews, and material handling meetings.
  • Direct regularly scheduled supplier meetings, develop agendas, and follow up with notes and action items.
  • Initiate third‑party inspection services, schedule visits to fabricator facilities, and lead review of inspection reports.
  • Use computer camera during remote meetings and calls.
  • Promote a healthy and safe work environment.
Preferred Requirements/Skills
  • Experience in the oil & gas industry.
  • Ability to quickly adapt to project schedule changes.
  • Excellent oral and written communication skills.
  • Proficient in Microsoft Office applications.
  • Experience with databases and purchasing programs such as Maximo, SAP, Oracle, Ariba, Ontrak, Newforma, or SMART Plant.
  • Proficient with Bluebeam Revu or other PDF editing software.

  • HHFT Safety Training and current card or ability to obtain.
  • Client Safety Training and current badge or ability to obtain.
  • TWIC Certification and current card or ability to obtain.
