Location: Prairie Vista Elementary School

Prairie Vista is looking for a Secretary/Treasurer for their buildings. 8 hrs per day - 210 days per year - 8 paid holidays

Assist the principal/department director in managing information and reports related to the daily operation of the school/department or the building-based/department budget.

Essential Duties and Responsibilities
  • Greet and assist visitors.
  • Answer telephones and respond to or direct calls.
  • Assist the Building Principal/Department Head with correspondence, reports, and other written communications.
  • Obtain, gather, and organize pertinent data as needed and puts it into usable form.
  • Maintain a regular filing system, as well as a set of confidential files, and processes incoming correspondence as instructed.
  • Order and maintain supplies or instructional materials as appropriate.
  • Assign duties to and supervise the work performance of clerical office personnel.
  • Perform appropriate tasks related to bookkeeping, purchasing, activities funds, payroll, leaves or absences.
  • Oversee all operations related to the management of the student bookstore.
  • Assist in securing and orienting substitute personnel. Supervise and administer the substitute system (AESOP).
  • Administer the Honeywell security system for the school.
  • Provide assistance with ill or injured students.
  • Coordinate extracurricular and external use of facilities and grounds.
  • Operate multi-positioned telephone switchboard to relay incoming, outgoing, and interoffice calls and train others to perform this task.
  • Monitor safety procedures in the office: fire, disaster and code blue drills, and monitor cameras.
  • Act as a liaison between faculty and students. Build and maintain a positive rapport with the school community.
Qualification Requirements
  • High school diploma or equivalent, post-secondary training/education or experience in accounting, office management, or telephone/communications systems preferred.
  • Advanced office skills and ability to work with a variety of technology tools.
  • Proficiency in word processing, database, spreadsheets, and desktop publishing programs.
  • Ability to maintain confidentiality.
  • Willingness to improve and/or develop job-related skills.
  • Excellent communication skills-oral, written, and interpersonal. Detail oriented.
  • Excellent work habits, attendance record and successfully complete and pass all criminal history and child abuse clearances.
  • Shall remain free of any alcohol or nonprescribed controlled substance abuse in the workplace throughout his/her employment in the Corporation.
