Special Programs Coordinator – Grants Pass, Oregon

Starting Date: Immediately

Location: District Office – Grants Pass, Oregon

Hours per Day: 8.0 hours

Compensation: $27.05 – $34.27 hourly. New hires are placed at Step 1–9 depending on prior contractual educational experience. Employees receive a comprehensive benefit package that includes medical, dental, vision, and PERS retirement contributions.

Qualifications: Two years of college coursework or an Associate’s Degree (waivable pending successful skills test by the District), high school diploma or GED required. Must be fingerprinted.

Bilingual and biliterate candidates are encouraged to apply.

Responsibilities
  • Follows and maintains knowledge of all applicable District policies and procedures.
  • Provides administrative support to curriculum department staff including preparation of presentations, tracking, calendar management, and correspondence to staff, parents, students, and community members.
  • Works with Federal and State Agencies to manage grant funds, and performs general office duties including answering multi‑line phones, greeting the public, typing, filing, sorting, handling mail, and responding to emails.
  • Completes a high volume of computer data entry work using District computer programs, inputting confidential data with speed and accuracy despite constant interruptions.
  • Compiles and prepares reports for administration or outside agencies as required.
  • Reads and interprets legal guidelines regarding administration of federal and state programs.
  • Responds to requests from district leadership, principals, and staff regarding grant budgets and expenditures.
  • Schedules conferences and programs, creating schedules, contacting invited parties, preparing confirmations, and distributing materials.
  • Manages special projects as assigned.
  • Processes district purchase orders and organizes purchases.
  • Provides accurate and timely information and reports.
  • Assists in development, tracking, maintenance, and reporting on program budgets including Title I, Title IIA, Title IV, 21st Century, Student Investment Account, High School Success, and other development grants, and assists schools in allocating Title I budgets.
  • Coordinates data and documentation required for monitoring of grants.
  • Appropriately maintains and secures confidential records and inquiries.
  • Interacts thoughtfully and courteously with students, staff, administrators, and parents, resolving conflict professionally.
  • Communicates clearly with coworkers and other staff.
  • Dress professionally for the position.
  • Provide impeccable customer service.
  • Attends work daily as assigned and is punctual.
  • Adheres to daily schedule.
