Referral Coordinator
Location:

This position is responsible for managing and coordinating outside specialty appointments requested to ensure continued continuity of patient care in a timely and professional manner. The coordinator works closely with area hospitals, ancillary departments, specialty physicians, nursing facilities, patient families, and the general public.
Responsibilities- Manage and coordinate all medical referrals through the Electronic Health Record system.
- Communicate directly with patients and participants, building rapport and providing information.
- Process insurance referrals and maintain accurate documentation on each authorization.
- Maintain communication with key insurance companies to ensure referrals are completed and followed up per requirements.
- Schedule patients for appointments and update demographic information in the EHR system.
- Triage patients for same‑day appointments, recording vital signs and medication lists.
- Handle phone triage of patients calling with non‑medical concerns.
- Arrange referrals, prior authorizations, labs, studies, and professional contacts as directed by MD and NP staff.
- Collect co‑pays when necessary and maintain accurate billing information.
- Ensure rooms and equipment are kept clean and maintain laboratory equipment as needed.
- Cover and fill in for staff members as required to maintain office workflow.
- Maintain effective communication with patients, co‑workers, and supervisor.
- Maintain punctual, regular and predictable attendance.
- Work collaboratively in a team environment with a spirit of cooperation and respect.
- Adhere to all required training, including Relias Learning Module System (LMS).
- Perform other duties as assigned.
- High School diploma or GED equivalent with a minimum of 2 years of medical office experience, including prior referral experience.
- Insurance medical billing and coding experience (preferred).
- Coursework in medical terminology (preferred).
- Strong communication skills with patients, staff, and external partners.
- Ability to work independently and as part of a team.
- Knowledge of insurance processes and electronic referral systems.
- Ability to handle confidential information in accordance with HIPAA.
- Basic computer proficiency, including email, database entry, and data retrieval.
- Ability to lift and/or move up to 10 pounds.
- Ability to read, write, and speak in English; basic math skills.
- Proficiency with EHR systems and standard office software.
Monday–Friday 8:00 AM‑5:00 PM with a 1 hour unpaid lunch and two 15 minute paid breaks — 40 Hours weekly.
