Provides information to customers regarding zoning ordinances and other development/construction related codes. Handles problems or questions of a semi-technical nature. Assists the Permit Clerks at the front counter as needed. Performs full secretarial and administrative duties with only general instructions including but not limited to transcription, typing, recording and file maintenance, mail distribution and telephone reception.

Responsibilities
  • Receives and screens telephone calls, letters and/or visitors.
  • Processes and provides information regarding requests for public records.
  • Assists customers in obtaining information regarding building, electrical, mechanical and plumbing codes.
  • Obtains information from other cities regarding fees, policies, procedures and ordinances.
  • Obtains pricing information for potential departmental purchases.
  • Provides direct administrative support by preparing memos, agendas, meeting packets and minutes for the Building Board of Appeals and other boards and commissions as directed.
  • Coordinates arrangements and confirms the applicants and members attendance prior to the Board meetings, establishing meeting time and location. Composes and types outcome letters of the Board meetings for the City Manager’s signature.
  • Provides first line of support for the Permit Clerks at the front counter.
  • Composes, types and answers correspondence not requiring the Building Official’s attention.
  • Prepares special reports, gathering necessary information and summarizing data.
  • Organizes and maintains the Building Official’s department files including correspondence, records, etc., and follows up on pending matters.
  • Makes arrangements and schedules appointments as directed by the Building Official.
  • Organizes, evaluates and expedites workload through the Building Official’s office to ensure deadlines are met.
  • May assign or schedule work and train others. Initiates follow-up actions.
  • Position requires attendance at after-hours Board and Commission meetings as directed; typically, one to three after hour meetings per month.
  • Performs related duties as directed when such duties are a logical and appropriate assignment to the position.
  • Regular and timely attendance are required for this position.
  • Interacts professionally and respectfully with the public, coworkers, and others in the course of daily work.
  • Skills, Knowledge and Abilities
    • Requires a thorough understanding of the City’s zoning ordinances, building, electrical, mechanical and plumbing codes.
    • Requires a high level of tact and integrity due to the frequent access to confidential and sensitive information and files.
    • This position requires a high degree of independent judgment, analysis, discretion and responsibility.
    • Must have knowledge of Microsoft Office suite.
    • Requires excellent organizational and communication skills.
    • Must have excellent verbal and written communication.
    • Must be comfortable working outside comfort zone with a willingness to learn.
    • Must be a team player who is able to work in a fast-paced environment with deadlines.
    • Ability to provide excellent customer services including a desire to help customers regardless of their circumstance.
    • Ability to work independently and with minimal supervision.
    • Must have the ability to learn additional applications as they are applied to working assignments.
    • Ability to maintain cooperative-working relationships with employees and those contacted in the course of work.
    Education, Experience and Other Requirements

    High school diploma plus two years college and five years of clerical / administrative work experience or an equivalent combination of education, training, and/or experience that provides the required knowledge, skills, and abilities to perform the essential functions of the job.

    Prefer knowledge of building codes and ordinances.

    Must have flexibility to attend after hours Board and Commission meetings.

    Must pass a Federal/National criminal background check and credit check. Must have a valid Texas driver's license with an acceptable driving record as defined by City policy.

    Must pass a pre-employment drug screen.
