Position: Fiscal Services Coordinator- Regular PT (32 Hrs/week)
With a high degree of independent judgment and discretion, provides support to various divisions of the Fiscal Services Department who require a seasoned administrative professional. The incumbent is required to have a high level of tact and integrity due to the great frequency of senior executive level internal and external contacts and the high degree of exposure to confidential and sensitive data and files.
Day-to-day contacts include persons at all levels within the city organization, community residents, and outside business executives.
Performs administrative and office management duties for senior executive level managers under general direction.Oversees daily office operations, ensuring a productive and organized work environment.Coordinates and acts as liaison with multiple divisions in the Fiscal Services Department, such as accounting, budget, purchasing, municipal court, utility billing, and housing authority.Prepares invoices for payment and obtains the necessary approvals. Enters invoices into Laserfiche for processing.Maintains and updates the Fiscal Services Department pages on The Loop.Completes assigned revenue reconciliations and check deposits as needed.Furnishes and obtains information from other executives/principals or outside representatives. Consults and reviews correspondence prepared by others for the Chief Financial Officer's signature for accuracy of information.Organizes and communicates Chief Financial Officer's instructions and desires to various individuals and/or department managers.Receives and screens Chief Financial Officer's telephone calls, letters, and/or visitors. Using independent discretion and judgment, personally handles various problems or questions. When appropriate, refers to Chief Financial Officer or other city officials.Answers routine questions and furnishes information.Initiates and composes correspondence and memoranda using office and word processing equipment. Routes and answers routine correspondence not requiring Chief Financial Officer's attention.Organizes and maintains Fiscal Services office files including correspondence, records, etc., and follows up on pending matters.Researches, compiles, and arranges administrative and statistical data. Prepares reports on assigned projects, gathering necessary information and summarizing data.Makes arrangements and schedules appointments. Coordinates arrangements for meetings and conferences, establishing meeting time, location, and contacts attendees. May attend meetings and prepare minutes.Performs related duties as directed when such duties are a logical and appropriate assignment to the position.Regular and timely attendance are required for this position.Interacts professionally and respectfully with the public, coworkers and others in the course of daily work.SKILLS, KNOWLEDGE AND ABILITIES
- Excellent organizational and communications skills and the ability to prioritize work are essential to ensure coordination and efficiently.
- Advanced knowledge of Microsoft Office suite and basic accounting skills.
- Requires acceptable level of proficiency on skills test to include keyboarding, proofreading, grammar, spelling, and editing using Word and Excel software.
- Ability to write clear and accurate reports and correspondence.
- Requires independent thinking and reasoning.
- A high level of tact and integrity due to the frequent access to confidential and sensitive information and files.
- Ability to proofread, prioritize work, and manage multiple tasks.
- Ability to be courteous and tactful when under stress or dealing with difficult people.
EDUCATION, EXPERIENCE AND OTHER REQUIREMENTS
Requires an Associate’s degree from an accredited college or university plus five (5) years of administrative support or an equivalent combination of education, training, and/or experience that provides the required knowledge, skills, and abilities to perform the essential functions of the job.
Texas Notary Public preferred
Must pass a Federal/National criminal background check, credit check, and must have a valid Texas driver’s license with an acceptable driving record as defined by City policy.
