The Team Lead, Administrative Services is responsible for supervising and supporting a team of administrative professionals to ensure efficient office operations.
Responsibilities- Ensure all incoming service tasks are accurately assigned and completed in a timely manner.
- Mentor and train the team on various service-level tasks and activities.
- Assist the internal team and universities with adding, deleting, and updating student records.
- Support students with waivers, eligibility, enrollment questions, changes, support emails, refunds, and related issues.
- Monitor, track, and complete service ticket queue entries.
- Handle emergency student additions that were omitted from the original file.
- Answer carriers and TPAs questions regarding dates and coverage periods.
- Reconcile invoices and discrepancy reports.
- Assist the accountant with monthly payments to carriers and schools.
- Help with daily deposits.
- Process pending records.
- Maintain a good working relationship with schools and students.
- Communicate and interact effectively and professionally with co‑workers, management, and customers.
- Comply with HIPAA, Diversity Principles, Corporate Integrity, Compliance Program policies and other applicable corporate and departmental policies.
- Maintain complete confidentiality of company business.
- Maintain communication with management regarding development within areas of assigned responsibilities and perform special projects as required.
- Associate's or Bachelor's degree in Business Administration, Office Management, or a related field.
- 3+ years of administrative or office management experience, including 1+ year in a lead or supervisory role.
- Strong organizational, communication, and problem‑solving skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and common office systems.
- Ability to prioritize tasks in a fast‑paced environment with attention to detail.
