Description
The Administrative Assistant is responsible for administrative services for the executive management team.
Essential Duties and Responsibilities- Arrange travel accommodations (hotel and car, both local and out of town) for executive staff.
- Run local errands (local purchases, lunch for meetings, post office runs, etc.).
- Organize and execute company events (on‑site sales, contests, raffles, vendor events, cookouts, group photos, holiday cards, holiday events, job fairs, customer events, etc.).
- Organize meeting planning and setup (drinks, snacks, condiments, lunch, room reservation, signage, etc.).
- Organize employee morale events (contests, event discounts, weather‑related employee benefits).
- Develop and display internal event communication models (signs, posters, banners, emails, announcements).
- Serve as research assistant on specialty projects.
- Procure and distribute promotional products.
- Sort and deliver USPS mail to staff.
- Contract and maintain water coolers and vending machines.
- Serve as company photographer.
- Assign year‑end inventory tasks and ensure staff training.
- Maintain all company bulletin and white boards.
- Respond to questions and requests for information.
- Implement and monitor programs as directed by management and see the programs through to completion.
- Other duties as assigned.
- Responsible for maintaining a positive work environment while supporting the company’s culture.
- Responsible for fostering a healthy and safe work environment, focusing on the well‑being of all associates.
- Requires 1–2 years of experience.
- Requires advanced Microsoft Word, PowerPoint, and Excel skills.
- Customer service skills.
- Must be detail‑oriented and comfortable working in a fast‑paced environment.
- Requires superior organizational skills and dedication to completing projects in a timely manner.
- Requires excellent communication skills at all levels of management.
- Must maintain the highest level of confidentiality.
- Must be able to multi‑task while maintaining complex schedules and managing administrative support.
- Must be able to work independently with minimal supervision.
- Must have a valid driver’s license and be able to drive a personal car (paid mileage).

Must be able to tolerate moderate to high noise levels in a warehouse environment. Office and outside environmental conditions found in the warehouse are hot in the summer and cold in the winter. Individuals may need to walk for an extensive period of time while working and walking the facilities; reach over shoulder heights; bend or stoop below the waist; perform repetitive wrist, hand, or finger movements;
and occasionally lift up to 10 pounds.
