Title Clerk

The Title Clerk — Repossession & Auction Titles is responsible for preparing and processing repossession titles and repo affidavit paperwork required to move repossessed vehicles through to auction, ensuring all documentation meets state and lender requirements. This role also serves as a point of contact for customers calling in with questions about title status and state-to-state title transfers. The ideal candidate is comfortable working with repossession documentation under time pressure, communicates clearly and professionally with customers, and can navigate multi-state title requirements.

• Prepare, review, and process repossession titles for vehicles moving to auction, ensuring accuracy and compliance with state requirements all states.
• Complete and submit repossession affidavits and supporting paperwork required by each state to clear title for auction sale.
• Track repo title status from repossession through auction release, flagging missing documentation, liens, or state holds that could delay a sale.
• Coordinate with repossession vendors, auctions, and lienholders to obtain outstanding paperwork (odometer statements, lien releases, power of attorney, etc.).
• Maintain organized, audit-ready files for every repo title/affidavit package.
• Support the team's auction title volume goals by keeping repo title turnaround times on track.

• Field inbound customer calls regarding title status, state-to-state title transfers, and general title questions.
• Explain title transfer requirements and next steps clearly to customers, including document needs and expected timelines.
• Research and resolve customer title issues by coordinating with the appropriate state DMV, title vendor (e.g., Vitu), or internal team.
• Document customer interactions and follow up as needed to ensure the title issue is fully resolved.
• Escalate complex or unresolved title complaints to the Team Lead or Title & Custodial Manager as appropriate.

• High school diploma or equivalent required; some college coursework preferred.
• 1+ years of experience in title processing, repossession operations, auto finance/servicing, or a related field preferred.
• Familiarity with repossession title/affidavit requirements and auction title processes a strong plus.
• Working knowledge of state DMV title transfer processes; multi-state experience (TX, KY, OH) preferred.
• Comfortable handling customer phone calls professionally, including occasionally frustrated or upset callers.
• Strong attention to detail and organizational skills; able to manage time-sensitive paperwork with lien and auction deadlines.
• Experience with Loan Pro, Dealer track, DDI, Vitu, or similar title/servicing platforms preferred.
• Proficiency in Excel and standard office software.

• Prior experience in repossession, recovery, or auction title operations.
• Strong phone/customer-service background, particularly in a financial services or auto lending environment.
• Ability to adapt quickly as processes and state coverage evolve.
