Job SummaryThe Emergency Services Administrator is responsible for supporting the administrative activities of the Emergency Services Department. This position assists the department with internal communications, at the direction of the supervisor, in supporting the company’s efforts relative to our reactive emergency service segment of the business. This position reports directly to the Emergency Services Specialist.
Key Responsibilities- Maintains documentation from Emergency Response Coordinator (ERC) qualifying leads and assists in handing off supporting details to the ERC.
- At the direction of the Emergency Services Specialist, coordinates and schedules calls with potential clients via phone or email, providing customers with information on applicable services.
- Assist the Emergency Services Specialist with preparing generating sales reports from draft outlines (i.e. sales activity, sales results, time loss information commission calculations).
- Support ESS in identifying emergency events through use of web-based tools and ESD technology.
- Coordinates the dissemination of findings from web-based and ESD tools to ESD team as well as other RMC employees.
- Maintains knowledge of departments services and operations through company offered training, department meetings, and research.
- Responds promptly to internal and external inquiries, providing responses or handing off to appropriate team member.
- Tracks and monitors department training (rosters, communications, etc.) in support of DNS goals.
- High school diploma or equivalent.
- Experience in providing administrative support to a service team, preferably in mitigation or construction industry.
- Excellent communication skills (written and verbal).
- Thorough knowledge of MSOffice (Outlook, Excel and Word).
- Service minded with excellent customer relations background.
- Detailed, thorough, accurate.
- Excellent proofreading skills.
- Excellent organization skills.
- Multi-tasker with ability to meet tight deadlines.
- Works well under general direction, enjoys a team environment.
- Regulatory Requirements:
Adhere to all local, state, and federal safety regulations, including OSHA and EPA standards. - Personal Protective Equipment (PPE):
Required PPE may include gloves, masks, goggles, hard hats, and safety footwear. All employees must wear PPE as required for their specific roles and job site conditions. - Ergonomic Practices:
Practice ergonomic principles to prevent musculoskeletal disorders. This includes proper desk setup, using adjustable chairs, and maintaining good posture while seated. - Office Safety Protocols:
Adhere to established office safety protocols to maintain a secure work environment. This includes the following guidelines for the proper use of office equipment and ensuring that work spaces are free from clutter to prevent trips and falls. - Safety Training:
Complete all mandatory safety training sessions, including but not limited to hazard communication, emergency response, and safe equipment handling. - Reporting Safety Concerns:
Ability to identify and immediately report any unsafe conditions, hazards, incidents or injuries to supervisors without fear of retaliation. - Emergency Procedures:
