Texas Oncology is looking for a Surgical Support Coordinator II to join our team at Texas Oncology. This position will support the Texas Breast Specialists at our Grapevine and Irving, Tx location. Typical work week is Monday through Friday 8:30 a.m. – 5:00 p.m.

What does a Surgical Support Coordinator do

Under minimal supervision, the coordinator is responsible for internal surgery scheduling from physician’s orders as directed by the physician. A close working relationship and good communication with the physician is required. Key duties include reserving operating room date and time, scheduling anesthesia and surgical assistants and any outside surgical representatives and/or equipment needed for the procedure, providing patients with pre‑operative testing information ordered by the physician, obtaining pre‑operative testing results and taking appropriate actions, obtaining insurance authorization and pre‑certification with the proper procedure (CPT) and diagnosis codes (ICD‑10), communicating surgical information and all necessary preparation to the patient, and orienting, training, and assigning work to lower‑level employees, while supporting the US Oncology Compliance Program, Code of Ethics and Business Standards.

Responsibilities

The essential duties and responsibilities include:

  • Plan, implement, coordinate, evaluate and promote continuity of care consistent with established standards and practices.
  • Review patient’s medications and health history, which may impact surgical clearance from other care providers.
  • Coordinate tasks associated with case scheduling, including completion of all required pre‑surgery/procedure tasks based on type of case, coordinating pre‑operative appointments with/for the patient, and notifying any needed representatives of the surgery case such as vendors or first assists.
  • Confirm or verify if a special product needs to be ordered for the case and schedule and authorize pre‑operative clearance testing and any diagnostic imaging (e.g., CT, MRI, US, X‑Ray).
  • Complete and send all required scheduling documentation to the surgical facility, including authorization or pending authorization information.
  • Complete and send history and physical, surgical order, and any required documentation to the physician for review and signature.
  • Complete and send surgical facility consent form with patient and physician signatures; may manage “Global Period” alerts in EMR and/or Practice Management System for applicable surgeries and scan any surgery documents into EMR as applicable (signed surgery orders, consents, cardiac clearance, authorizations).
  • Review the patient’s name of the procedure/surgery to be performed and discuss any embedded protocols, notifications, and tasks to be completed, including bowel preps.
  • Confirm the surgery‑scheduled date with the patient, facility and anesthesia requests, and ensure appropriate authorizations are obtained in a timely and effective manner for all scheduled procedures/surgeries. For insured patients,…
