Temporary Records Scanning Assistant
The Temporary Records Scanning Assistant is responsible for organizing, scanning, indexing, and electronically filing confidential employee records. This position supports the Human Resources Department by assisting with the conversion of paper personnel files into digital records while maintaining strict confidentiality and accuracy.
Essential Duties and Responsibilities:
- Prepare employee documents for scanning by removing staples, paper clips, and organizing records.
- Scan personnel documents into the district's electronic filing system.
- Verify scanned documents for accuracy, readability, and completeness.
- Index and label electronic files according to established filing procedures.
- Maintain confidentiality of all employee records and sensitive information.
- Organize and file documents as directed by Human Resources staff.
- Assist with records retention and document management projects.
- Follow district policies and procedures regarding confidential information.
- Perform other related duties as assigned.
Qualifications:
- High school diploma or equivalent preferred.
- Basic computer skills, including experience with scanning equipment and electronic file management.
- Strong attention to detail and organizational skills.
- Ability to handle confidential information with discretion and professionalism.
- Ability to work independently and follow established procedures.
Physical Requirements:
- Ability to sit or stand for extended periods.
- Ability to lift and move boxes weighing up to 25 pounds.
- Ability to perform repetitive hand and arm movements associated with scanning and filing documents.
Terms of Employment:
Temporary, non-benefit eligible position. Hours and duration of employment to be determined by the district. Reports directly to the Human Resources Director or designee.
