Description
The Department of Parks & Recreation, Southern Region Parks Division (SRPD), is seeking a highly experienced professional to fill the Administrative Assistant III position.
As an Administrative Assistant III, the selected candidate will perform administrative support duties for the Administrative Supervisor and the Division Leadership with special projects, day-to-day functions, research, and long-range project management.
The successful candidate must have a strong work ethic, be highly motivated, possess strong written and verbal communication skills, be organized and flexible, have excellent external and internal customer service skills, and be able to keep pace with a varied work program and work with a diverse team. This position will report to the Administrative Supervisor.
Budgeted Hiring Range: $47,419 - 65,701 with growth potential to $83,983. Salary is commensurate with experience.
Examples of Important Duties
May include but not limited to:
FINANCIAL RESPONSIBILITIES:
* Provide primary administrative support for purchase requisitions, purchase orders, and expenditure tracking.
* Prepare and track purchase requisitions and purchase orders.
* Assist with the preparation of necessary paperwork to ensure vendors are paid timely
* Ensures all purchases are under M-NCPPC policies and procedures
* Review all completed expenditures to ensure they are tracked against the correct accounting unit
* Maintain expenditure spreadsheets
Administrative Assistance:
* Provide support to the Administrative Supervisor and the Administrative Specialist I.
* Prepare and submit deposits and check requests as needed.
* Organize, assess, and prioritize multiple tasks, projects, and demands.
* Collect data from the Enterprise Asset Management program to support operations.
* Assist with Seasonal Hiring Processes to include onboarding and background checks
* Maintain Evaluation schedules and reporting.
* Monitor administrative processes to ensure conformance with policies and procedures.
* Research designated topics. May perform difficult administrative support work to ensure the efficiency and effectiveness of office operations.
* Establish and maintain cooperative working relationships with a large and diverse staff and work effectively as part of a team or independently to complete work assignments.
* Assist with division communications, including drafting, updating, and editing.
* Perform secondary administrative support to additional procedures, including but not limited to boot vouchers, evaluations, and accounts payable,
* On occasion, report to additional maintenance yards within SRPD (Cosca Park, Bock Road) to assist staff with issues that may need in-person attention.
* Assist division staff with electronic equipment issues (connection, software access, resetting passwords, correspondence with ITS)
* Perform other duties as assigned.
Committee Participation:
* Actively attend and participate in assigned committees
* Act as liaison between the location and the committee
* Complete all committee assignment responsibilities by set deadlines
Preferred Candidate Characteristics

* Self-motivated self-starter
* Concise, strong written and oral communication skills
* Proficient with web-based applications such as Teams, Microsoft Office Suite (including One Drive)
* Working knowledge of procurement processes and procedures best practices.
Minimum Qualifications
1. High school diploma or a Certificate of General Educational Development (GED).
2. Four (4) years of progressively responsible experience that includes at least two (2) years in administrative and clerical support work and at least one (1) year of technical support experience in the administrative management areas of the specific position to be filled.
3. An equivalent combination of education and experience may be substituted, which together total 4 years.
