Essential Job Functions- The Judiciary Clerk position is a clerical position with the responsibility of assisting and providing customer service both in person at the intake counter and over the phone to the public for Prince George's County Circuit Court.
- Accept and enter new civil, family, and probate cases and issue applicable notices and/or summons.
- Process payments and perform cashier duties utilizing the cashier functions in Enterprise Justice.
- Assist with processing incoming and outgoing correspondence for all departments within the court complex using the Pitney Bowes postage machine.
- Generate logs for the appropriate departments to sign upon receipt as a tracking mechanism for all USPS certified, Fed Ex and UPS packages.
- Sorts, opens, date stamps, and distributes all incoming mail and inter-office correspondence to the appropriate departments.
- Works overtime as needed and performs other duties as assigned.
- Assists the public with new case filings within the Intake Division of the Communications Center.
- Ensures cases are initiated correctly and the correct fees are applied and processed.
- Indexes all New Case Filings, applies correct fees, issues summons, operates cash register, and reconciles fees daily.
- Scans all incoming pleadings and correspondence from pro se litigants.
- Answers incoming phone inquiries for the clerk's office.
- Sorts, opens, date Stamps and distributes all incoming and outgoing correspondence within the Clerk's Office, including Fed Ex, UPS, and Certified Mail.
- Performs other duties as assigned.
- Adheres to the Policies and Procedures within the Clerk of the Circuit Court Office.
- Education:
High school diploma (or GED equivalent). - Experience:
One (1) year of work experience, preferably in court operations or in the fields of criminal justice, parole and probation, legal or financial services. - Note:
A Bachelor’s Degree may substitute the required work experience. - Note:
A Paralegal/Associates Degree or 60 college credits may substitute the required work experience. - A Paralegal Certificate may substitute the required work experience.
- General office practices, procedures, and equipment.
- Standard legal forms and documents used in the Judiciary.
- Basic English and arithmetic to include, but not limited to, spelling, punctuation, addition, subtraction, multiplication, and division.
- Customer service and handling problems tactfully and patiently.
- Typing on a personal computer.
- Accuracy and attention to detail.
- Use standard office and business equipment including, but not limited to, personal computers, word processing, spreadsheets, database software, copier, cash register, scanner, fax machine, etc.
- Use and maintain numerical filing system to locate files, until all cases are completely scanned.
- Communicate clearly, tactfully, and effectively with judges, the public, police agencies, attorneys, and other court officials and personnel, both verbally and in writing.
- Understand and abide by departmental rules, regulations, and procedures.
- Exercise tact, diplomacy, and impartiality in dealing with the public, law enforcement personnel, and attorneys.
- Follow procedures, verbal and written instructions, and protocols for any given assignment.
- Use proper grammar, punctuation, and spelling.
- Exercise independent judgment in interpreting and applying appropriate policy, procedure, rule, law, and/or regulation to a situation.
- Sit or stand for long periods of time.
