ADMINISTRATIVE ASSOCIATE II - DISTRICT ATTORNEY'S OFFICE

Position Title: Administrative Associate II

Location: Orrin King Building

Hiring Range: $19.25 - $21.39/hr

Status: FT

Hours per week: 40

Work Hours: 7:30am – 4:30pm

Department: District Attorney

Pay Basis: Hourly

Purpose and Summary

Performs general reception and clerical services including the collection of participant demographic and economic information. Provides front desk coverage and clerical support to justice-system programming.

Essential Functions
  • Answers phone, greets program participants, schedules appointments, ensures completion of intake paperwork with new participants. Routes calls and visitors to appropriate staff. Maintains organized reception area.
  • Handles imaging of confidential material, participant and program information, and legal documents in participant electronic and paper files.
  • Provides administrative financial support by collecting payments and answering participant questions regarding payment and billing information.
  • Additional Essential Duties
  • Enters and updates cash logging information efficiently and timely, maintaining organized documentation to ensure accurate tracking of information.
  • Maintains and updates program documents distributed to participants, as requested by Special Program Supervisor.
  • Assists in the collection and compilation of program participation information.
  • Maintains up-to-date contact information for community partners and service providers.
  • Opens and closes office areas daily to include, among other duties, unlocking and locking all cabinets and closets and returning calls routed to voicemail.
  • Takes minutes in internal and external meetings.
  • Distributes incoming and outgoing mail, in conjunction with District Attorney’s Office Receptionist.
  • Oversees inventory tracking of office supplies and program-related materials as assigned.
  • Handles imaging of participant documents as assigned.
  • Performs other related duties as may be assigned.
  • Work Relationships
  • Reports to Special Programs Supervisor.
  • Works regularly with District Attorney’s Office employees and community partners.
  • Education, Experience, Training, and Certification
  • High School Diploma.
  • Work experience in an office setting is preferred.
  • Working knowledge of office procedures, practices, and equipment gained through some practical experience.
  • Knowledge, Skills, and Abilities
  • Ability to independently organize and prioritize workload and work area.
  • Ability to maintain a high degree of confidentiality regarding participant information.
  • Strong written and verbal communication skills including listening skills.
  • Computer skills including facility with Microsoft Office applications and ability to learn new software.
  • Ability to file and image information accurately and timely.
  • Ability to type accurately at a minimum speed of 35 wpm preferred.
  • Ability to act calmly in emergency situations and under pressure, while being able to effectively address and resolve conflict and manage stress in a professional manner.
  • Physical Requirements
  • Ability to perform most work from a sedentary position.
  • Ability to function in situations encountered in a normal office setting.
  • Ability to use standard office equipment including a telephone, computer, printer, photocopier, and scanner.
  • Ability to travel to other County departments and locations.
