Job Title

Receptionist and General Clerical Work

Job Summary

Performs receptionist and general clerical work under basic supervision, while also exercising independent judgment and critical thinking in transactions with the public. Responsible for answering and redirecting incoming calls, requiring familiarity with multiple departmental programs, operations and staff at the Brown County Community Treatment Center which includes the Nicolet Psychiatric Hospital, CTC Outpatient Clinic, Bayshore Village Nursing Home and Bayhaven CBRF.

Responsible for various cash transactions, record keeping, receiving the public and providing general customer service and staff assistance. Performs varied and increasingly responsible clerical work and specialized clerical functions calling for familiarity with Health and Human Services Department regulations and procedures.

Hours:

Every other weekend;
Saturday & Sunday 12:15pm-5:15pm

Essential Duties

Maintain the confidential nature of client and business information, records and documents per departmental standards and State/Federal confidentiality laws. Answer incoming phone calls and inquiries of a general, non-restricted nature or refers inquiries to the proper official or department. Receive and relay messages to proper department or employee, either in paper or electronic format depending upon the guidelines provided. Acknowledge and greet clients/visitors as they arrive, directing them and providing information.

Notify appropriate staff person when a client/visitor has arrived and/or is waiting for an appointment. Maintain a professional and friendly demeanor with all internal and external customers, clients and staff members. Receive payments, issue receipts and account for monies handled. Obtains information from public, clients and/or staff members for completion of forms, documents, etc. Maintain computer information system(s). Monitor video camera and informs department manager of any issues or concerns.

Develop and maintains files according to departmental standards. Prepare office for business and closes office when applicable. Assists with various projects and programs as needed. Maintains a clean, safe and organized working environment. Attends in-service training and meetings, as required and necessary to carry out responsibilities of the position. Greet walk-in clientele and assist them as necessary. Performs specialized clerical assignments executed with minimal supervision.

Performs data entry functions into various departmental databases and documents. Assists departmental staff with clerical needs such as faxing, copying, and printing. Sorts and distributes department mail and correspondences. Responsible for accurate handling, documentation, and reconciliation of resident trust funds in compliance with regulatory and organizational policies. Assists with management of petty cash accounts, ensuring proper documentation and reconciliation of expenditures.

Performs related functions as assigned.

Minimum Qualifications Required

Education and Experience:

Must be at least 18 years old. High School Diploma or equivalent (GED) preferred, plus one year of relevant office experience; or any equivalent combination of education, training and experience which provides the necessary knowledge, skills and abilities.

Knowledge, Skills & Abilities

Excellent phone etiquette. Ability to thrive at work with minimal supervision and to exercise good, independent judgment. Ability to work a flexible schedule. Proficiency in Microsoft Office programs (MS Office – Word, Excel, Outlook). Ability to operate a variety of standard office equipment such as computers, calculators, copiers, fax machines, etc. Typing speed of 40 net words per minute or greater.

Strong written and verbal communication skills. Ability to print and write legibly. Ability to understand and carry out oral and written instructions. Ability to establish and maintain effective working relationships with staff and the public. Ability to work the required hours of the position. PHYSICAL DEMANDS:
