The Division of Academics is seeking applicants for an Executive Staff Assistant position. This position provides critical support to the Assistant State Superintendent (Division Administrator) and helps the division function effectively. Position SummaryThis position coordinates assignments and activities with administrative staff of six division Bureaus/Offices. Work is accomplished with a high degree of independent judgment. The position requires tactful monitoring of workflows and knowledge of roles and responsibilities within the division, knowledge of roles/responsibilities throughout the department, and working knowledge of other public and private agencies. The position performs office management duties for the division, including initiating, anticipating, and completing special projects needed by the division or as directed by the State Superintendent and Assistant State Superintendent.
The ESA develops division procedures, organizes and disseminates materials and information, and drafts/edits/proofreads documents. As division webmaster, this position requires the knowledge and skills to independently create, check content, and update web pages. The position requires proficiency with technology, including various software and cloud-based applications.
In this role, you will:
Provide confidential executive and administrative support to the Assistant State Superintendent/division administrator by managing communications, scheduling, correspondence, meeting coordination, research, and division operations to ensure efficient and effective leadership support.
Provide comprehensive administrative and operational support for the division by coordinating workflows, managing office processes and records, serving as a primary liaison, maintaining communications and web content, supporting personnel and compliance activities, and implementing process improvements to ensure efficient division operations.
Complete special projects and other assigned initiatives while actively supporting organizational goals.
