Service & Sales Coordinator Requirements & Responsibilities Position Summary

The Service & Sales Coordinator plays a key role in supporting Hurckman Mechanical’s service operations and Service Sales team. This individual is responsible for planning, scheduling, and coordinating daily service activities while providing administrative support for service sales, daywork, and other smaller service-related projects. Responsibilities include coordinating customer and technician communications, maintaining job documentation, tracking work orders and job progress, supporting billing and administrative processes, and assisting Service Sales with the day-to-day administration of service-related work.

The role requires sound judgment, strong organizational skills, attention to detail, and the ability to effectively manage multiple priorities in a fast-paced environment.

Essential Job Functions

:

  • Schedule and dispatch service technicians based on availability, location, skill set, and service priorities.
  • Maintain the service schedule, work orders, customer information, and related service records.
  • Provide professional communication and coordination with customers, technicians, Service Sales, Accounting, and other internal departments.
  • Provide administrative support to Service Sales for daywork and smaller service-related jobs, including job setup, documentation, tracking, and follow-up.
  • Track open work, outstanding information, and job status to ensure timely completion and invoicing.
  • Follow up with technicians, Service Sales, and other internal teams to obtain outstanding information needed to complete work orders and support timely billing.
  • Prepare, organize, and maintain job documentation to support accurate scheduling, job tracking, and billing.
  • Review technician time, work orders, and job documentation for completeness and accuracy.
  • Assist with processing completed service and daywork for timely and accurate billing.
  • Maintain maintenance agreement records, customer files, and renewal information.
  • Enter and maintain information in company software, spreadsheets, and other databases.
  • Assist the Service and Sales teams with general administrative tasks as needed
Knowledge,

Skills and Abilities
  • Prior experience in customer service required; administrative, coordination, or dispatching experience preferred
  • Dispatching experience or mechanical knowledge (HVAC, service industry) is a plus, but not required
  • Ability to multitask and prioritize effectively in a fast-paced environment
  • Strong written and verbal communication skills
  • Technically inclined and comfortable learning mechanical terms and concepts
  • Above-average computer skills; proficiency in Microsoft Office (Word, Excel, Outlook)
  • Knowledge of local geography and basic map-reading skills helpful
  • Highly organized with strong attention to detail
  • Calm and professional under pressure; quick thinker and adaptable
  • Willingness to speak up constructively when problems arise
  • Self-motivated, goal-driven, and eager to contribute to company success
  • Demonstrated reliability and a strong attendance record
  • Passion for continuous improvement—both personal and organizational
