Working within a team and under the general supervision of the Manager-Hospitality Finance this position will provide accounts receivable and administrative support to the Hospitality & Real Estate Group Businesses. This position supports all locations utilizing the property management system and Kohler Original Recipe Chocolates.
Specific Responsibilities- Preview all group contracts and compare them to the billing that has been set up on the operating system to ensure that billing is done correctly at the front end and that the contract is within policy guidelines.
- Review all Tour Operator and Individual All Group events. Ensure all room rates and contracted elements have been properly followed.
- Post payments daily as they are received either from the lock box account, checks, or through the Sertifi portal.
- Bill internal House Accounts and contracted Kohler Direct Bills.
- Print and mail/email monthly statements to clients with a balance.
- Facilitate group credit applications between group sales department and the corporate credit department.
- Respond to transient and group guests billing inquiries within a 24-hour period.
- Work with group and leisure sales staff to facilitate seamless guest experience from the first point of contact to their final billing.
- Assist in tokenizing credit cards in Resort Suite based off the contracts and credit card authorization forms.
- Assist in processing Travel Agent Commissions for payment.
- Maintain Office Supplies.
- Kohler banquet tickets – Tax exempt tracking.
- Filing of Banquet Event Orders and Group Resumes daily.
- Attend Lodge Kohler and Kohler Wisconsin Resume Meetings on a weekly basis.
- Requires basic computer skills, including Excel.
- Phone etiquette and message taking skills.
- Other Duties as assigned by the Accounts Receivable Team Members or Accounting Manager
This is a full-time, seasonal role working 8:00 am - 5:00 pm.
Skills / Requirements- Detail-Oriented, accurate work habits are necessary.
- Good written and oral communication skills are required.
- Customer service experience is preferred.
- Computer skills and related work experience is preferred.
- Microsoft Office knowledge, particularly EXCEL, is required.
- Positive attitude with a strong willingness to learn
Applicants must be authorized to work in the US without requiring sponsorship now or in the future.
The hourly range for this position is $14.10 - $21.20. The specific hourly rate offered to a candidate may be influenced by a variety of factors including candidate's education and work location.
