About the Role
We are seeking a detail-oriented and customer-focused Associate Sales Coordinator to join our team. In this role, you will serve as a key liaison between customers, distributors, and internal teams, ensuring orders are processed accurately and delivered on time. You'll play a critical role in supporting the order-to-cash process, maintaining data integrity across multiple systems, and delivering an exceptional customer experience.
This position is ideal for someone who thrives in a fast-paced environment, enjoys problem-solving, and can effectively manage multiple priorities while maintaining a high level of accuracy.
- Create customer quotations and convert them into sales orders.
- Process and manage customer purchase orders, ensuring accuracy of pricing, delivery requirements, and order details.
- Review order status reports and proactively resolve order holds, delays, and discrepancies.
- Serve as the primary point of contact for assigned customer and distributor accounts.
- Provide timely updates regarding order status, shipment tracking, and delivery schedules.
- Communicate delivery impacts, delays, and fulfillment risks to customers and internal stakeholders.
- Coordinate outbound shipments to meet customer expectations and service-level requirements.
- Obtain freight quotes and ensure freight charges are accurately documented.
- Prepare and distribute shipping documentation and certificates as required.
- Partner with logistics providers, carriers, and internal teams to ensure smooth order fulfillment.
- Track shipments and assist with issue resolution related to freight damage, shortages, or delivery discrepancies.
- Support invoice discrepancy research and resolution.
- Assist with returns, credits, and customer claims.
- Monitor customer account activity and collaborate with Finance on aged invoices and outstanding balances.
- Maintain accurate records of order changes, pricing updates, and customer communications.
- Maintain accurate records in ERP, CRM, and reporting systems.
- Manage customer service and sales-related cases, ensuring timely documentation and follow-up.
- Track order, shipment, and invoicing information using Excel and other reporting tools.
- Ensure data consistency and integrity across all business systems.
- Work closely with Sales, Supply Chain, Manufacturing, Logistics, Finance, and Customer Service teams.
- Provide backup coverage for additional customer accounts as needed.
- Support process improvement initiatives and help drive operational efficiency.
- High school diploma or equivalent.
- Strong customer service and communication skills.
- Excellent organizational skills with the ability to manage multiple priorities simultaneously.
- Strong attention to detail and commitment to accuracy.
- Ability to thrive in a fast-paced, high-volume environment.
- Proficiency with Microsoft Office, including Excel.
This is a Contract position based out of Kohler, WI.
Pay and BenefitsThe pay range for this position is $21.00 - $22.00/hr.
