Job Summary

The Business Administrator of Operations is responsible for personnel and human resources management, including the care and oversight of the entire parish campus. This role requires a high level of collaboration with maintenance personnel, building and grounds volunteers, the pastor, school principal, finance council, parish council, and diocesan resources. The Business Administrator mentors front office and facilities staff, ensures parish membership and database accuracy, manages non-financial aspects of stewardship, and facilitates effective collaboration with the Business Administrator responsible for accounting and finances, facilities, stewardship planning and development, and the Parish Pastoral Council.

The Business Administrator role is divided into two functional staff roles:

  • Finance and Accounting: budgeting, bookkeeping, payroll, finance council, etc.
  • Operations: human resources, campus and facilities, mentoring front office and facilities staff and projects, parish membership, stewardship non-financial engagement and development, parish council, etc.

Collectively, both roles manage the business administration functions such as finances and accounting of the parish, budget planning, overall facilities planning and leadership related to financial aspects of development, and day-to-day operational and human resources functions. The two staff leaders collaborate closely to fulfill the mission and vision of the parish.

Duties and Responsibilities Administration of Personnel
  • Recruiting, interviewing, hiring, mentoring, and performance feedback for clerical, maintenance, janitorial staff, and/or vendors.
  • Work assignment and supervision of staff and vendors under jurisdiction.
  • Hourly time-card approval; encourage use of vacations and time off during low seasons (summer, not Christmas or Easter).
  • Salary and benefit administration, including serving as a resource for staff transitioning to Medicare.
  • Contract and salary negotiations with parish committees, individuals, and vendors.
  • Handling internal staff conflict and dismissal issues.
  • Maintaining personnel files.
Administrative and Operational Responsibilities
  • Bulletin service provider or in-house advertising contact.
  • Maintain master file of pastoral and finance council minutes.
  • Manage parish website and technology, promotional materials, advertising, telephone directories, bulk mail, etc. (A 15 hour a week IT person reports to this role and supports the role and parish).
  • Maintain capital assets inventory records.
  • Oversee facility and equipment preventative maintenance schedules.
  • Manage projects for repairs, renovations, and improvements of facilities.
  • Manage contracts for timely, scheduled maintenance, facility insurance policies, and related issues.
  • Coordinate acquisitions of new equipment and furnishings.
  • Lead long-range facility planning.
  • Serve as liaison to Buildings and Grounds Committee and Safety Committee.
  • Support development and planning related to the financial side of stewardship, including management of the Parish Wishlist and marketing as a bequest opportunity.
  • Assist staff during peak snow season and support kitchen cleanliness and event preparation as needed.
  • Engage actively with the Parish Pastoral Council.
