Description
The Fleet Coordinator is responsible for managing the administration and operational efficiency of the company’s vehicle and equipment fleet. This role ensures compliance with leasing agreements, service contracts, and regulatory requirements, while coordinating maintenance, repairs, and replacements. It also supports the company’s Transportation Management System (TMS) to maintain accurate data flow and system performance across divisions and collaborates with third-party logistics (3PL) providers to optimize transportation services.
Acting as a key liaison between internal departments and external vendors, the Fleet Coordinator drives cost-effective fleet management and ensures optimal asset performance.
- Assists with the process of in-fleeting and de-fleeting of commercial and passenger vehicles and forklifts, including registration and licensing.
- Review maintenance records and coordinate necessary repairs or replacements of company-owned vehicles and forklifts with external vendors and contractors.
- Ensure all vehicles and equipment comply with applicable government regulation and safety standards.
- Utilize GPS tracking software to monitor vehicle locations and usage.
- Monitor and support Electronic Logging Device (ELD) program, including driver/user setup and data monitoring.
- Monitor Driver Vehicle Inspection Reports (DVIR) for compliance and maintenance needs.
- Support the company’s Fleet Transportation Management System (TMS), coordinate with 3PL providers to ensure service alignment, performance tracking, and issue resolution.
- Provide technical assistance and training to staff on fleet systems and equipment usage.
- Prepare and maintain accurate files, documents, and reports related to fleet operations.
- Other duties as assigned.
- 1 or more years of previous experience with contract administration, required
- 2 or more years of fleet experience and administrative coordination, preferred
- College degree (Associate’s or Bachelor’s), strongly preferred
