The Alumni Engagement and Annual Giving Coordinator will support the alumni and donor engagement functions by providing dedicated administrative assistance to the Alumni Engagement and Annual Giving offices.
The position will remain open until filled and is not eligible for immigration sponsorship at this time.
Responsibilities- Serve as primary administrative support for the Alumni Engagement and Annual Giving offices; manage office email accounts, communications, and inquiries.
- Schedule and coordinate internal and external meetings and events; assist with logistics, registrations, name‑tag creation, materials, and onsite support.
- Perform data entry and record updates for alumni engagement and giving metrics across CRM platforms (e.g., Millennium, Blackbaud, IModules, Give Campus).
- Prepare monthly dashboard reports on attendance, giving trends, and engagement metrics; maintain archived reports for long‑term analysis.
- Review, edit, and provide editorial clarity for alumni and annual‑giving communications as part of the approval workflow.
- Maintain the multi‑year inventory of recognition items, process order requests, and coordinate annual reordering of plaques, certificates, and awards.
- Reconcile event and alumni‑related revenue, credit‑card statements, and budget tracking; manage office supplies and inventory ordering.
- Serve as primary point of contact for vendors, print and mailing services, promotional items, and other event‑support contracts.
- Train new hires on office systems, event and donor software, and organizational policies.
- Build and maintain internal policies and procedures related to event reporting, donor records, and data compliance.
- High School Diploma or General Education Development (GED) required;
Associate’s degree preferred. - Minimum of two years office administration experience, with web authoring and CRM experience preferred.
- Strong organizational, time‑management, and interpersonal skills; ability to work independently and as part of a small office team.
- Excellent written and oral communication skills, including editing and drafting of routine reports and correspondence.
- Proficient with event management and donor recognition software (e.g., Millennium, Blackbaud, Give Campus) and willingness to learn new systems.
- Professional phone demeanor; ability to handle customer inquiries efficiently and courteously.
