Position Summary

We are seeking a highly organized, relationship-focused Client Services Manager to help keep our tax office running smoothly while delivering exceptional service to our clients. Our tax firm has built its reputation over nearly 30 years by serving Amish, Mennonite, and other Plain communities, along with individuals and businesses who value personal relationships, trust, and practical advice over transactional service.

This role combines office management, client service, workflow coordination, and administrative leadership. You'll serve as one of the first people clients interact with, ensuring they feel welcomed, informed, and well cared for throughout the tax preparation process.

Success in this role comes from genuine kindness, professionalism, attention to detail, and respect for every client's unique needs and values.

What You'll Do
  • Welcome clients visiting the office and provide outstanding customer service.

  • Answer incoming phone calls and coordinate client communications, with the assistant of a receptionist.

  • Confirm receipt of mailed tax documents and follow up on missing information.

  • Coordinate workflow and help keep projects moving efficiently.

  • Manage office schedules, calendars, and daily operations.

  • Order office supplies and maintain inventory.

  • Perform bookkeeping and administrative support functions.

  • Maintain organized electronic and paper filing systems.

  • Support the owner and staff by handling day-to-day operational responsibilities.

  • Exercise sound judgment while working independently and knowing when to elevate issues.

What You Bring
  • Previous office management, client service, administrative, or practice management experience

  • Excellent communication and interpersonal skills

  • Strong organizational and multitasking abilities

  • Ability to build trust and lasting relationships with clients

  • High level of integrity, professionalism, and discretion

  • Strong computer skills and willingness to learn new software

  • Ability to work independently while supporting a collaborative team

  • Experience in an accounting, legal, financial services, medical, or professional office is preferred but not required

Why Join Us?
  • Stable, family-oriented work environment

  • Opportunity to make a meaningful impact within a growing practice

  • Flexible leadership that values work-life balance

  • Small, supportive team where your contributions are noticed

  • Paid holidays and flexible paid time off

  • Continuing education opportunities

  • Potential bonus opportunities tied to firm growth and new client referrals

  • Compensation: $25-$30 per hour, depending on experience, plus potential bonus opportunities
