Under the leadership of the Vice President of Institutional Advancement, the Manager of Support Services performs the gift management process, including record maintenance and upkeep of the Raiser’s Edge database, preparing reports, conducting prospect research, and performance of the prospect management process, working closely with fellow staff members of the Office of Institutional Advancement, along with assisting the Provost’s Office under special projects as assigned.

EDUCATION/

EXPERIENCE:
  • Five years’ minimum experience in database management desired
  • Three year’s minimum fundraising experience desired
  • Knowledge and understanding of accounting
  • Advanced computer skills: especially in Excel, Word, and donor database experience in Raiser’s Edge preferred
  • Preferred knowledge of higher education and Institutional Advancement preferred
ESSENTIAL FUNCTIONS:
  • Responsible for the maintenance and upkeep of electronic databases including;
    Raiser’s Edge of more than 35,000 constituents; in a timely and accurate fashion, ensuring data integrity;
  • Performs system analysis of the database system, which includes gift policy administration, gift and data acceptance and entry, and user training and technical support services to Institutional Advancement staff, leading the way in data analysis and mining for frontline fundraising purposes, as we streamlining processes resulting in better performance;
  • Assigned special duties regarding email and technical based frontline fundraising as needed and based on skillset and core competencies;
  • Performs the strategic process for prospect management, working closely with the Institutional Advancement staff;
  • Completes contact reports and tracking entries in a timely and accurate fashion;
  • Maintains and enhances the security of confidential data related to alumni and donors of the University;
  • Identifies prospective donors in order to conduct and document prospect research on the prospective donors to support the fundraising efforts of the University;
  • Responsible for the receiving, recording, and receipting process of all gifts and/or pledges daily, as well as send receipt letters to all donors within 24/48 hours of gift receipt;
  • Creates and provides reports, letters, and assistance to the Office of Institutional Advancement, the Business/Accounting Office, university auditors, deans, the Office of the President and others as requested;
  • Maintains and updates Raiser’s Edge Standards and Procedures policy in regards to the gift receipting process; and from other University/College systems as necessary;
  • Assists with additional efforts of the Institutional Advancement staff as needed;
  • Follows academic and other related administrative policies; and supports and promotes the mission of Tusculum University to all faculty, staff, students and community at large
  • Administrative tasks for the Welcome Center, answering telephones, responding to voicemails, checking the mail, and greeting guests.
  • Working campus-wide events such as Old Oak Festival, Homecoming, and alumni events as needed for duties such as welcoming, golf cart shuttles, and hospitality services.
  • Help create assignments for Federal Work Study, GA, or office volunteers
