Purchasing Specialist
The Purchasing Specialist manages high-volume purchase order processing and supports end-to-end procurement activities to ensure uninterrupted material availability for production and projects. This role requires meticulous data entry, strong collaboration with cross-functional teams, and proactive communication with suppliers and internal stakeholders to maintain accurate orders, resolve issues, and support continuous improvement in procurement performance.
Responsibilities- Enter 20–40 purchase orders per day, each containing up to 100–150 lines, accurately and efficiently using manual data entry processes.
- Manage more than 200 purchase order lines weekly in SAP to ensure material availability that supports production schedules and maintains supply continuity across multiple projects.
- Align procurement activities with demand signals, production readiness, and project timelines by partnering closely with engineering, production planning, and warehouse operations.
- Adjust purchase order quantities, delivery dates, and priorities to maintain supply continuity and prevent production delays.
- Maintain and update material master data, including lead times, pricing, and specifications, to support accurate MRP and procurement planning.
- Investigate and resolve receiving discrepancies, supplier documentation issues, and invoice mismatches in collaboration with vendors and internal stakeholders.
- Support the monitoring of supplier performance metrics, including on-time delivery and lead time adherence, to help drive supplier reliability and continuous improvement.
- Track purchasing activity and assist in reporting procurement and supplier performance data for management review.
- Follow established standard work procedures and guidelines to ensure consistency and compliance in purchasing processes.
- Utilize Excel for data entry, tracking, and reporting, and Outlook for professional communication with internal and external contacts.
- Communicate effectively via phone and email with internal teams and suppliers to provide updates on orders, address issues, and ensure adherence to current processes.
- Ensure a high level of attention to detail and data accuracy in all purchasing and documentation activities.
- Multitask and manage time effectively to meet deadlines and handle multiple purchase orders and priorities simultaneously.
- Exhibit a driven attitude, strong work ethic, and willingness to hold individuals accountable to established processes and timelines.
- 5–8 years of purchasing or buying experience, preferably in a high-volume, manufacturing or production-oriented environment.
- Experience working with ERP systems; familiarity with D365 is highly desirable.
- Proficiency with SAP for managing purchase orders and material master data.
- Strong communication skills with the ability to interact professionally with internal stakeholders and external suppliers, providing clear updates on orders and issues.
- Ability to follow standard work procedures and guidelines consistently.
- High level of accuracy and attention to detail in manual data entry and documentation.
- Proficiency in Microsoft Excel for data entry, tracking, and reporting.
- Proficiency in Microsoft Outlook for email and calendar management.
- Ability to multitask, prioritize, and manage time effectively to meet deadlines.
- Demonstrated driven attitude and strong work ethic.
- Confidence in holding internal and external partners accountable to established processes and expectations.
Skills & Qualifications
- Experience with D365 ERP is a plus.
- Experience in purchasing, purchase orders, and procurement processes in a manufacturing or similar environment.
- Comfort working with large volumes of purchase order lines and manual data entry.
- Ability to collaborate effectively with engineering, production planning, warehouse operations, and finance teams.
- Analytical mindset to support tracking and reporting of procurement and supplier performance data.
- Experience monitoring supplier performance metrics, such as on-time delivery and lead time adherence.
