Construction Administrative Accounting Clerk
We are seeking a highly organized and detail-oriented Construction Administrative Accounting Clerk to support a rapidly growing division within a well-established construction company in Greensboro. This role will serve as the central point of coordination for administrative, accounting, and operational functions, helping ensure projects run smoothly and critical deadlines are met.
The ideal candidate will have prior construction accounting experience, strong organizational skills, and the ability to proactively follow up with project managers and field personnel to obtain necessary documentation and information. This position supports a team that is primarily in the field, requiring someone who is self-motivated, persistent, and comfortable managing multiple priorities simultaneously.
Responsibilities- Process customer billings and assist with project invoicing.
- Maintain accurate job costing records and support project financial tracking.
- Review, collect, and process employee timecards.
- Assist with accounts payable processing, invoice entry, and vendor documentation.
- Coordinate contract administration activities and project paperwork.
- Manage change orders and ensure supporting documentation is properly maintained.
- Track and maintain Certificates of Insurance (COIs) and related compliance documents.
- Support company licensing renewals and regulatory requirements.
- Monitor project documentation to ensure completeness and accuracy.
- Follow up with project managers and field personnel to obtain billing, job cost, and project-related information.
- Maintain organized electronic and physical filing systems.
- Assist with month-end and year-end accounting processes.
- Perform various administrative and accounting duties as needed to support operations.
- Minimum 2+ years of construction accounting or construction administration experience required.
- Experience with job costing, construction billing, invoicing, and contract administration.
- Working knowledge of accounts payable processes.
- Experience managing change orders, COIs, and construction documentation.
- Proficiency with Sage accounting software strongly preferred.
- Strong Microsoft Office skills, particularly Excel.
- Exceptional organizational and time management skills.
- Ability to prioritize multiple tasks in a fast-paced environment.
- Strong communication skills and the confidence to follow up with internal stakeholders.
- High level of accuracy and attention to detail.
