- 5:30 p.m.), Monday - Friday, with extended hours as necessary, particularly at month-end and year-end close.
EEA Companies is seeking a detail-oriented Accounting Coordinator-AP/AR to serve as the centralized accounts payable and accounts receivable processor for its multi-entity portfolio, while also providing billing support for the software business and day-to-day accounting support for the real estate division. This consolidated role supports accounting operations across EEA's family office, hospitality, software, and real estate businesses.
The software billing component includes recurring subscription invoicing, new customer billing setup, collections follow-up, and monthly reconciliation of the billing system to Net Suite. The real estate accounting component is intentionally lean because a third-party property manager handles day-to-day property operations and monthly reporting.
This position imports those summaries into the accounting system, performs investor-level bank reconciliations for the real estate entities, and maintains accurate records. The balance of the role is focused on accurate, timely AP/AR processing across all entities.
The ideal candidate has a genuine background in bookkeeping or accounting, is highly accurate at routine volumes, and takes ownership of recurring accounting processes. This role reports to the Controller, works closely with the accounting team, and may support special projects and cross-functional initiatives as business needs arise.
ESSENTIAL DUTIES & RESPONSIBILITIES Accounts Payable & Receivable (Primary Function)- Process accounts payable across all EEA entities: receive and review invoices, verify vendor compliance and coding against the chart of accounts, obtain required approvals, and post payables in Net Suite.
- Prepare and process timely vendor payments via ACH, check, or wire; maintain the payment run schedule aligned with vendor terms and cash management priorities.
- Create and distribute client invoices in accordance with contract specifications across applicable entities; record payments received and apply them to open balances.
- Monitor accounts receivable aging for all entities; elevate overdue balances to the relevant staff accountant or Controller.
- Respond to vendor and customer invoice inquiries promptly and professionally; resolve coding and payment discrepancies in coordination with the responsible accountant.
- Maintain organized digital records of invoices, payment confirmations, and vendor documentation in accordance with established filing protocols.
- Generate customer fund transfers and maintain new customer and vendor profiles in Net Suite.
- Prepare annual IRS Form 1099s across entities in coordination with the Controller.
- Generate and distribute recurring subscription invoices for the software entity's customer base; post to Net Suite AR upon issuance and record payments received against open balances.
- Process new customer billing setup in coordination with the Software Accountant, including plan and tier changes, upgrades, downgrades, and cancellations; maintain accurate customer billing records.
- Monitor software entity AR aging; execute collections follow-up on past-due subscription accounts per established protocol, and elevate unresolved balances to the Software Accountant.
- Reconcile the billing system to the Net Suite AR subledger monthly; document and elevate unresolved variances to the Software Accountant or Controller.
- Maintain billing records, customer agreements, and cancellation documentation in accordance with established retention policies.
- Import monthly financial summary packages from the third-party property management firm into Net Suite; verify that data is complete and correctly mapped before posting.
- Perform monthly investor-level bank reconciliations for real estate entities; identify and elevate unexplained variances to the Controller.
- Record recurring journal entries for real estate entities, including prepaid amortizations, depreciation entries as provided, and intercompany allocations, as directed by the Controller.
