Position: Office Administrator / Customer Support

Job Overview

We are seeking a highly organized and customer-focused Office Administrator / Customer Support Representative to join our team. This role combines administrative responsibilities with frontline customer service/client support. The ideal candidate is detail-oriented, proactive, and committed to delivering excellent service while ensuring smooth day-to-day operations.

Key Responsibilities:

Office Administration
  • Manage daily office operations and ensure an organized, efficient workspace
  • Handle inbound and outbound email and phone communication with suppliers, vendors and clients
  • Work with internal teams and external companies to ensure smooth management of billing and payments
  • Work with the Facilities Manager to schedule inspections and repairs, and communicate with vendors to obtain quotes for any needed upfits or repairs
  • Maintain filing systems (physical and digital)
  • Assist management with administrative projects and tasks
Key Responsibilities:

Customer Support
  • Serve as the first point of contact for client inquiries.
  • Respond promptly and professionally to client questions and concerns
  • Manage inbound invoices from vendor partners
  • Resolve client/customer issues efficiently and escalates when required
  • Maintain accurate records utilizing internal systems
  • Follow up with vendors, the client, and internal team members to ensure a speedy resolution
Qualifications & Skills
  • Proven experience in office administration and/or customer service
  • Strong written and verbal communication skills
  • Excellent organizational and multitasking abilities
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Experience with CRM systems is a plus
  • Strong problem-solving skills and attention to detail
  • Professional, friendly, and customer‑oriented demeanor
  • Ability to work independently and as part of a team
Preferred Qualifications
  • Diploma or degree in Business Administration or related field
  • 1–3 years of relevant experience
  • Experience in fulfillment, shipping and receiving
  • Bi‑Lingual (Spanish/English)
